JOB OVERVIEW

Looking to hire a virtual assistant to help with KPI Tracking, Internal Operations, & Administrative Support

It would be preferred if you could work in the Eastern or Central time zone

I'm looking for someone who is interested in a long term position. We are a fast growing consulting company working with service based business owners to help them scale through marketing, content, and sales strategies. We move quickly, value clear communication, and need someone who can help strengthen internal operations as we continue to grow.

We're looking for a highly organized, proactive virtual assistant whose primary focus will be tracking backend data, KPI reporting, and managing internal operations. This role also includes administrative support, scheduling, and communication with team members and contractors.

This is not a reactive task only role. We need someone who takes initiative, follows up, anticipates needs, and keeps the team organized and accountable.

Key Responsibilities:

- Track and update backend KPIs and performance metrics

- Maintain internal spreadsheets, documents, and reporting dashboards

- Manage communication and follow-ups between team members

- Assist with scheduling, reminders, and recurring tasks

- Track client payment schedules and internal payment timelines

- Ask clarifying questions and ensure nothing falls through the cracks

- Attend Zoom calls when needed (weekly or biweekly)

- Communicate consistently throughout the workday with fast response time

- Assist with ad management, including monitoring campaign performance and reporting on ad metrics

Requirements:

- Previous experience as a virtual assistant, operations assistant, or project coordinator

- Strong English speaking and writing skills

- Highly organized with strong attention to detail

- Proactive communicator with fast response time

- Confident using systems like Google Sheets, Notion, Slack, etc.

- Ability to work in or overlap with Eastern Time Zone hours

- Must be self-directed and comfortable holding others accountable to deadlines

Preferred (Not Required):

- Experience working with coaching, consulting, or agency-style businesses

- Familiarity with KPI tracking in marketing or sales environments

- Operations or executive assistant background

- Strong spreadsheet or reporting skills
