We are seeking a full-time Virtual Assistant available from 9:00 AM to 5:30 PM (GMT) to support daily operations, client communication, and media coordination.

Comfortable working in a fast-paced, deadline-driven environment
Key Responsibilities
1. Client Communication
Serve as the central point of contact for clients
Monitor and respond to
Handle client inquiries, changes, and requests promptly
Transition into handling phone communication as needed
2. Order & Scheduling Management
Monitor the booking system and confirm appointments
Prioritize bookings scheduled 24+ hours in advance
Coordinate logistics for vacant properties (confirm access, key availability, readiness)
Assist with scheduling adjustments and appointment optimization
3. Data Accuracy & Address Management
Verify and update property addresses when needed
Use postal code lookup tools to ensure accuracy
Confirm details with clients in advance when necessary
4. Media & Editing Coordination
Manage common client requests such as:
Floor plan updates
Image edits (blur/remove items)
Minor photo adjustments
Work with tools such as:
Photoshop
Lightroom
Floor plan software (e.g., CubiCasa)
Coordinate with external editors when needed
5. AI & Visual Quality Oversight
Assist with basic AI virtual staging tasks
Review images for quality and visual appeal
Identify properties that may require re-shoots or improvements
6. File Management & Delivery
Work within Dropbox and Google Drive for file organization and delivery
Ensure all media is delivered on time and correctly
7. Turnaround & Performance Standards
Maintain fast turnaround times (target: next-day delivery by 1 PM)
Respond to all client requests and amendments as quickly as possible
Help uphold a consistent, reliable client experience
8. Afternoon Responsibilities (Post-1 PM)
Client follow-ups
Review requests
Calendar and schedule management
9. Social Media Support (Optional but Preferred)
Assist in creating and scheduling social media posts
Organize media into content packages for clients
Familiarity with social media tools or AI-assisted posting is a plus
