Virtual Executive Assistant for Busy Entrepreneurs (Highly Organized + Tech-Savvy)
Position: Part Time / Full-Time Virtual Executive Assistant
Salary: Based on experience — paid weekly with room for growth
???? About the Role
My wife and I run three different companies, and we’re looking for a highly organized, proactive assistant to help us stay on top of everything..
You’ll manage schedules, inboxes, daily priorities, and to-dos — and come up with better systems to keep us organized.
RESPONSIBILITIES
Serve as the primary point of contact for our team,
Manage and respond to
Speak professionally with owners, clients, and staff
Manage Google Workspace tools, especially Google Voice, Calendar, Docs, Sheets, and Drive
Conduct research and deliver clear reports
Provide daily status updates
Assist with owner’s personal appointments, project ideas, etc
???? What You’ll Do
Calendar & Meeting Management — Send Zoom and Google Meet invites, schedule appointments, and remind us of key events.
Daily Check-ins — Meet with us twice a day to go over tasks, priorities, and follow-ups.
Inbox Management — Go through both my inbox and Rachel’s, organize everything, flag priorities, and review with us 1–2 times daily.
Task & Document Management — Use Notion, Google Docs, and Google Sheets to organize projects, notes, and to-do lists.
System Organization — Help create or improve systems across all three companies.
Communication Tools — Use Loom for updates and ChatGPT to streamline tasks and documentation.
Basic Video Editing — Trim, clean up, and prepare videos for upload
Publishing — Upload videos to YouTube and upload podcast audio to hosting platforms

General Tech Support — Assist with light tech tasks as needed

Exceptionally organized and love bringing structure to chaos
Great at following up, prioritizing, and keeping others accountable
Tech-savvy and comfortable with Google Workspace and Notion
A clear communicator who can summarize and simplify information
Independent, resourceful, and confident managing multiple priorities
Totally fine with me throwing new tasks at you constantly
Comfortable learning new tools and taking the lead on organizing things
Able to handle basic video editing + uploading content across platforms
? Bonus Skills (Not Required but Preferred)
Experience with Five9 (able to text or call us from the Philippines)
Familiarity with
Experience working directly with business owners or executives
