As our Virtual Assistant, you’ll support the operational delivery of our online programs, live events, and the company’s online shopping experience. This role requires exceptional communication, consistent online presence, and a commitment to accuracy and timeliness.
You’ll help maintain the operational flow of client-facing work, assist during live sessions, keep ClickUp tasks updated, and support program logistics. You thrive when juggling multiple priorities, stay calm under pressure, and understand how important precision and follow-through are in a fast-paced, high-impact environment.

Responsibilities (Tasks Associated With the Role — Full-Time):
-- Program & Client Support
Attend live client calls to provide administrative support and take accurate meeting minutes.
Process, upload, and organize program delivery notes and recommendations in client files.
Conduct regular client file audits to ensure records are complete and accurate.
Support the execution of Reimagined Health’s online programs, ensuring deliverables are organized, documented, and delivered on schedule.
-- Live Event Support
Assist with logistics for virtual events, workshops, and masterclasses.
Prepare materials, links, and resources needed for live sessions.
Manage behind-the-scenes admin during live events.
-- Online Store Support
Assist with product updates, organization, and routine maintenance of the online shopping site.
Upload new products, adjust details, monitor inventory updates as provided by operations.
Support promotions, sales tracking tasks, and related administrative workflows.
-- Communication & Team Operations
Maintain an active presence online during working hours to support real-time needs.
Communicate consistently via Slack with timely updates and responses.
Update ClickUp tasks daily with progress, questions, and completions.
Support
Assist with general operational tasks as assigned by the Director of Operations or Dr. Nashat.
-- Research & Documentation
Research aligned fertility experts, partnerships, or online programs as assigned.
Help maintain updated documentation, SOPs, and program-related materials.
Results (Expected Outcomes):
Program delivery runs smoothly, with clear documentation and timely administrative support.
Client files remain organized, accurate, and up to date.
Live events are executed seamlessly with strong behind-the-scenes support.
The online store remains organized, updated, and functioning efficiently.

Requirements (Expected Proficiencies to Excel in This Role):
Native or Fluent English speaker.
Minimum 2 years of experience as a Virtual Assistant supporting a CEO or founder (experience in an online business is a bonus).
Strong written and verbal communication skills.
High attention to detail and accuracy.
Consistent online availability during designated working hours.
Ability to multitask and prioritize in a dynamic environment.
Excellent time management and track record of meeting deadlines.
Experience with ClickUp, Slack, Google Workspace, and Zoom (or ability to learn quickly).
Prior experience supporting online programs or digital businesses is a plus.
Comfortable taking real-time notes on live calls and translating them into clear summaries.
