We're looking for a Virtual Event Administrator to join our growing team!

Who You Are
• You have a strong administrative background and are comfortable managing calendars, inboxes, documents, contracts, proposals, quotes, and invoices.
• You're highly organized and naturally stay on top of deadlines without constant reminders.
• You've coordinated vendors, venues, contractors, or third-party partners and know how to keep multiple moving pieces on track.
• You bring structure to ambiguity and enjoy creating organized processes.
• You're professional, proactive, detail-oriented, and genuinely enjoy helping people.
• When challenges arise, you focus on finding solutions, not assigning blame.
Role Requirements
• Pristine English proficiency (Written and Verbal).
• 2+ years working with clients from the United States.
• 2+ years of virtual assistant experience (or relevant administrative experience).
• Must have a reliable backup internet connection.
• Experience with a variety of CRM tools and G-Suite.
• Reliable internet connection with a backup; ability to work scheduled remote hours consistently. (Minimum: Download Speed +20 MB / Upload Speed 5 MB).
• A Computer: At least 8GB of RAM and an Intel Core 8th generation processor or higher, or AMD Ryzen 2000 series or higher.
• Operating system: Windows 11 or higher / macOS 13 or higher.
• Working camera and microphone.
What You'll Do
• Manage the complete event workflow from inquiry to completion.
• Prepare quotes, proposals, contracts, invoices, and follow-up communications.
• Serve as the primary point of contact throughout each event.
• Coordinate vendors, venues, contractors, and internal tea
• Build detailed timelines and event documentation.
• Maintain accurate CRM records and track event progress.
• Monitor inventory, supplies, and event equipment.
• Support administrative operations including scheduling, inbox management, and meeting notes.
• Assist with lead generation, outreach, and marketing initiatives during slower periods.
Nice to Have
• Experience with weddings, corporate events, AV/production, catering, food & beverage, or similar industries.
• Experience creating SOPs or improving internal systems.
