ABOUT THE POSITION

JRM Vallejo Church, a Christian church serving the community in California for nearly 20 years, is seeking a highly organized, dependable, and skilled Virtual Church Administrative & Digital Media Assistant based in the Philippines.

This is primarily an administrative and executive support position, with additional responsibilities in social media, digital communications, graphic and video production, and livestream support.

The successful candidate will work closely with the Senior Pastor and Associate Pastor and will play an important role in helping organize ministry activities, follow up on assignments, coordinate communications, manage administrative responsibilities, and strengthen the church’s digital presence.

We are looking for someone who is not simply waiting for instructions, but who can take initiative, organize information, follow through on assignments, communicate effectively, solve problems, and help leadership keep projects and ministry responsibilities moving forward.

This is a serious, full-time, long-term position. We offer a competitive salary, with above-market compensation available for highly qualified candidates.



PRIMARY RESPONSIBILITIES

1. CHURCH ADMINISTRATION & EXECUTIVE ASSISTANCE

This will be the primary focus of the position.

Responsibilities will include:

* Work directly with the Senior Pastor and Associate Pastor.
* Attend ministry, staff, leadership, and project meetings through Zoom or other online platforms.
* Take clear and accurate meeting minutes.
* Prepare meeting summaries and action-item lists.
* Follow up with pastors, ministry leaders, staff members, and volunteers regarding assignments and deadlines.
* Track projects, events, deadlines, and outstanding responsibilities.
* Help ensure decisions made during meetings are properly communicated and followed through.
* Prepare letters, announcements, reports, presentations, spreadsheets, and ministry documents.
* Organize and maintain digital files using Google Drive, Google Docs, Google Sheets, and related tools.
* Assist with schedules, ministry coordination, correspondence, and administrative projects.
* Maintain organized records and information.
* Provide reminders and follow-up regarding important church activities and deadlines.
* Handle sensitive church and leadership information with professionalism and confidentiality.
* Assist with other administrative responsibilities assigned by church leadership.

The ideal candidate must be highly organized and comfortable managing multiple projects, deadlines, conversations, and follow-ups at the same time.



2. SOCIAL MEDIA & DIGITAL COMMUNICATION

The successful candidate will also assist with managing and developing the church’s digital presence.

Platforms may include:

* Facebook
* Instagram
* YouTube
* TikTok
* Church website
* Email newsletters
* Google Business Profile

Responsibilities may include:

* Create and schedule social media content.
* Prepare church announcements and event promotions.
* Write or assist with captions and digital communications.
* Maintain a church content calendar.
* Help promote worship services, church activities, ministries, and special events.
* Assist with email newsletters and digital campaigns.
* Help monitor social media activity, messages, and engagement.
* Organize sermon videos and other digital content.
* Help improve consistency and quality across JRM Vallejo’s online platforms.



3. GRAPHIC DESIGN & VIDEO CONTENT

Strong Canva skills are highly preferred.

Responsibilities may include:

* Design social media graphics.
* Create church event posters and announcements.
* Prepare sermon graphics.
* Produce presentation materials.
* Edit short-form videos and social media reels.
* Prepare sermon clips from recorded services.
* Create promotional videos when needed.
* Resize and adapt content for different social media platforms.

Experience with the following is an advantage:

* Canva
* CapCut
* Adobe Photoshop
* Adobe Premiere Pro
* Other graphic-design or video-editing platforms

Advanced Photoshop or Premiere Pro experience is helpful but is not required if the candidate demonstrates strong creative ability using Canva, CapCut, or similar tools.



4. LIVESTREAM & DIGITAL SERVICE SUPPORT

The assistant will also help support JRM Vallejo’s online worship services and digital events.

Responsibilities may include:

* Assist with Facebook and YouTube ---------- .
* Prepare livestream graphics and digital materials.
* Help coordinate livestream schedules.
* Support online services and special events.
* Assist in troubleshooting basic livestream and online broadcasting issues.

Experience with OBS or similar livestreaming software is an advantage.



AI & TECHNOLOGY

The candidate should be comfortable learning and using modern technology.

Familiarity with ChatGPT and other AI tools is highly desirable.

The assistant may use AI tools appropriately for:

* Research
* Drafting communications
* Meeting organization
* Content development
* Social media planning
* Administrative productivity
* Graphic and creative development
* Summarizing information
* Improving workflows

The ability to learn new software and technology quickly is very important.



QUALIFICATIONS

Applicants should preferably have:

* At least 3–5 years of relevant professional experience.
* Experience as an Executive Assistant, Administrative Assistant, Virtual Assistant, Church Administrator, Social Media Assistant, Digital Marketing Assistant, or similar position.
* Excellent organizational and follow-up skills.
* Strong written and spoken English.
* Strong attention to detail.
* Ability to work independently.
* Ability to manage multiple responsibilities and deadlines.
* Good judgment and problem-solving skills.
* Strong communication and interpersonal skills.
* Ability to work directly with pastors, ministry leaders, staff, and volunteers.
* Experience with Google Docs, Google Sheets, Google Drive, and related productivity tools.
* Strong Canva skills or equivalent graphic-design experience.
* Basic video-editing ability.
* Familiarity with Facebook, Instagram, YouTube, and other major social-media platforms.
* Ability and willingness to learn new systems and applications.

Website management, CRM/database experience, project-management software, livestreaming, Photoshop, Premiere Pro, and other advanced digital skills are considered strong advantages but are not necessarily required.



CHRISTIAN MINISTRY ENVIRONMENT

Because this position works closely with church leadership and supports the ministry and mission of JRM Vallejo, preference will be given to candidates who are committed Christians, actively involved in a local church, and comfortable working within a Christian ministry environment.

Applicants should understand that this is more than a typical corporate administrative position. The successful candidate will be supporting the work, ministry, leadership, and mission of a Christian church.

WORK SCHEDULE

This is a full-time remote position requiring 40 hours per week.

The normal working schedule will generally be:

8 hours per day, 5 days per week

The position will primarily follow California working hours, approximately 9:00 AM to 5:00 PM California Time.

Because the employee will be based in the Philippines, applicants must understand that this requires an overnight/early-morning Philippine schedule.

Depending on daylight saving time in California, the approximate Philippine schedule will generally be:

12:00 AM–8:00 AM Philippine Time
or
1:00 AM–9:00 AM Philippine Time

Applicants must be comfortable maintaining this schedule on a long-term basis.

The anticipated regular days off are Wednesday and Thursday, although schedules may occasionally be adjusted by mutual agreement depending on church activities and special events.

Weekend availability is important because church services and ministry activities commonly occur on Saturdays and Sundays.



COMPUTER & INTERNET REQUIREMENTS

Because this is a fully remote position, candidates must have a professional and reliable home-working setup.

Minimum requirements include:

* Personal computer with at least 16 GB RAM.
* Preferably a computer purchased or manufactured within approximately the last five years.
* Reliable broadband internet connection.
* At least 30 Mbps download and 30 Mbps upload speed.
* 50 Mbps or higher is preferred.
* Reliable webcam.
* Good-quality headset and microphone.
* Quiet working environment suitable for meetings and professional communication.
* Backup internet connection or mobile hotspot is highly desirable.

Candidates may be asked to provide:

* Computer specifications.
* Screenshot of current internet speed test.
* Photo of their home-working setup.



COMPENSATION

Competitive salary.

Above-market compensation may be offered to highly qualified candidates who demonstrate strong administrative, executive-assistant, digital-media, communication, and technical capabilities.
