JOB OVERVIEW

Job Title: Virtual Assistant for Digital Marketing Agency (Beauty and Aesthetic Clinics)

Location: Remote

About the role

We run a digital marketing agency that helps beauty and aesthetic clinics generate new enquiries using online advertising, landing pages and automated follow up systems.

We use AI systems to handle most incoming conversations with leads. Your role is not to manually respond to every lead, but to support and supervise these systems.

You will step in when conversations are escalated, communicate with leads when needed, and help ensure the AI systems are working properly.

This role requires someone organised, detail focused and comfortable working with AI tools.

Main responsibilities

AI conversation support

* Monitor conversations handled by AI systems
* Step in when a conversation is escalated or needs human assistance
* Communicate clearly with leads when required

AI system oversight

* Help ensure AI responses are accurate and appropriate
* Flag issues where the system is not responding correctly
* Assist with improving conversation quality over time

Lead and CRM management

* Update CRM records and lead status
* Track conversations and ensure important leads are not missed
* Escalate important issues when needed

General admin tasks

* Basic data entry
* Updating spreadsheets and reports
* Organising information in tools such as Google Docs or Monday

AI productivity requirement

You must be comfortable using AI tools to increase productivity.

This includes

* Working alongside AI systems in daily tasks
* Using AI to assist with writing and problem solving
* Being teachable and open to improving workflows using AI

Tools you may work with

* GoHighLevel or similar CRM systems
* Google Docs and Google Sheets
* Email and messaging platforms
* Project management tools such as Monday
* AI conversation systems

Requirements

* Strong written English
* Clear and professional communication
* Good attention to detail
* Ability to follow instructions and processes
* Comfortable learning and working with AI tools

Nice to have

* Experience in customer support or lead management
* Design Skills
* Ad management
* Meta Ds, Google Ads
* Experience working with marketing agencies
* Familiarity with beauty, skin or aesthetic clinics
