JOB OVERVIEW

HHC LLC is a growing construction, remodeling, and interior supply company based in Oregon. We specialize in residential remodels, additions, interior finishes, flooring, cabinetry, project coordination, and client-focused service. We are looking for a reliable, organized, and proactive Operations & Project Coordination Assistant to help support our fast-growing operations remotely.

This is more than a standard virtual assistant role. We are looking for someone who can become a long-term part of the company and help keep projects, schedules, communication, and systems organized while supporting daily business operations.

Responsibilities
Client communication and follow-up
Scheduling appointments, subcontractors, and meetings
Organizing project timelines and task lists
Social media posting and content scheduling
Assisting with estimates and construction takeoffs
Organizing selections, invoices, and material orders
Tracking project progress and updating internal systems
Assisting with permit and inspection coordination
Managing emails, spreadsheets, and digital files
Supporting marketing and customer outreach
Following up with leads and helping maintain CRM systems
Helping prepare professional documents and proposals
Coordinating with suppliers and vendors when needed
Preferred Experience
Construction administration
Real estate coordination
Estimating support or takeoff experience
Project management assistance
Customer service and communication
Social media management
Spreadsheet organization and data entry
Experience with Houzz Pro, QuickBooks, Buildertrend, PlanSwift, Bluebeam, or similar software is a plus
Requirements

Ability to multitask and prioritize
Professional attitude and willingness to learn
Self-motivated and dependable
Comfortable working in a fast-paced environment
