We are seeking a detail-oriented and deadline-driven Virtual Assistant to handle payroll, HR, and accounting functions across multiple entities. The ideal candidate will have strong technical skills, excellent organizational abilities, and experience managing complex administrative and financial tasks.
Responsibilities
Payroll Processing (Semi-Monthly via ADP Workforce Now NextGen)
-Conduct weekly timecard audit reports
-Calculate and enter bonuses and mileage reimbursements
-Manage pay period nuances and adjustments (overtime, training time, etc.)
-Prepare and review post-payroll reports
-Maintain job costing splits using Excel spreadsheets
HR Functions
-Manage ADP onboarding and offboarding processes
-Create wage package offers for new and existing employees
-Oversee annual open enrollment and benefit invoicing
-Upload and track employee documents in ADP
-Ensure completion of employee documentation
Multi-Entity Commercial Property Management Accounting
-Process receivables (lease payments) and payables (including multi-entity bill backs)
-Calculate owner distributions
-Perform bank reconciliations and manage cash flow
-Prepare financial reports, budgets, and forecasts (including annual Triple Net Lease calculations and true-ups)
-Assist with tax preparation and payments
-Review and renew insurance policies
-Manage business registrations and renewals
Required Skills
-Proficiency in QuickBooks Enterprise Desktop
-Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook)
-Familiarity with Google Docs and Microsoft Teams
-Excellent attention to detail and accuracy
-Strong organizational and time management skills
-Ability to consistently meet deadlines

-Ability to work independently with minimal supervision
-Strong communication and problem-solving skills
-Comfortable handling sensitive and confidential information
