Working Hours: UK time 9:00am to 11:00am and 1:00pm to 3:00pm, Monday to Friday
Philippine time: 4:00pm to 6:00pm and 8:00pm to 10:00pm, Monday to Friday
Starting Salary: Starting at £450/month (approximately PHP 33,000/month), will raise with performance.
Probation: 3 months

Who We Are
We are a self-managing UK property investor based in the North of England with a portfolio of approximately 20 residential properties including student lets, an HMO, and serviced accommodation. We manage everything directly without a lettings agency, which means this role genuinely matters.
We work at a fast pace, we communicate directly, and we expect the same in return. You will have real responsibility from day one and direct access to the portfolio owner. The Role
This is a hands-on virtual property management position. You will manage the day-to-day operations of the portfolio including tenant communication, rent collection, maintenance coordination, compliance tracking, and property administration.
You are not here to simply pass messages along. You are here to manage, follow up, and keep things moving. Attention to detail is critical in this role. Errors in rent accounts, compliance records, or tenant correspondence have real consequences and we take accuracy seriously.
What You Will Do
Tenant Communication
First point of contact for all tenants via
Manage a dedicated WhatsApp group for each property
Handle enquiries, complaints, and day-to-day requests professionally and promptly
Coordinate tenant onboarding, check-ins, and move-outs
Manage the summer student changeover across multiple properties including check-outs, cleaning coordination, repairs, and new tenant check-ins
Support tenancy renewals and end-of-tenancy processes
Rent Collection and Arrears
Monitor all rent payments using Xero
Send proactive reminders ahead of due dates
Chase arrears promptly and escalate where necessary
Maintain an accurate live rent tracker at all times
Maintenance Coordination
Log and triage all maintenance requests from tenants
Coordinate with existing trusted tradespeople and source new contractors where needed
Obtain quotes, get approval, instruct works, and follow up to completion
Maintain a clear maintenance log for every property
Property Administration
Manage listings on OpenRent and other platforms
Keep digital files organised for every property including tenancy agreements, compliance certificates, and correspondence
Track compliance deadlines across the portfolio including gas safety, EPC, electrical certificates, and licensing requirements
Manage council tax, utility accounts, and direct debits carefully and accurately
Prepare regular portfolio update reports
Communication and Meetings
Manage the property
Draft professional correspondence to tenants, councils, contractors, and platforms
Attend scheduled check-in calls on time and prepared
What We Need From You
Essential
Minimum 2 years of verifiable hands-on experience in UK property management or UK residential lettings
References from a UK property employer that we can and will contact
Solid working knowledge of UK tenancy processes including ASTs, deposit protection, rent arrears, and property licensing
Excellent written English and very strong attention to detail
Highly organised and able to manage multiple properties and open tasks without losing track
Proactive by nature — you flag issues early, you follow up without being chased, and you take ownership
Comfortable communicating with UK tenants, contractors, and councils
Proficient in Microsoft Office, Google Suite, and Xero
Stable internet and a reliable home working setup
Strongly Preferred
UK lettings or property qualification such as ARLA Propertymark or NFOPP Technical Award
HMO management experience
Experience with student tenants and seasonal changeovers
Familiarity with OpenRent or similar UK platforms
Degree in Business, Property Management, Real Estate, or related field
