Transaction Coordinator VA — Wholesale & Novation Real Estate

Remote | Full-Time | Direct Hire | Mon–Fri, 9:30 AM – 6:30 PM EST
$6.80/hour + $75 per closed deal | OTE up to $1,925/month

INS Home Buyers is a nationwide real estate solutions company. We're hiring an experienced Transaction Coordinator to own our deals A–Z: from executed contract through clear title to funded close — cash, novation, and wholetail.

Read this part carefully. This is a high-pressure, high-accountability role. You'll carry 25–50 active files at a time and you own title on every one of them. Nobody hands you a checklist, nobody chases you for updates, and nobody cleans up a file you let go quiet. When a deal doesn't fund on time, that's yours. If you need to be managed to move, this is the wrong role.

This is not a general VA role. If you haven't cleared title, chased liens and payoffs, or coordinated a novation closing with a U.S. title company, don't apply.

What You Own

- Read every executed contract the day it lands: closing date, EMD, title company, contingencies, seller obligations, assignment and novation terms, missing signatures
- Order title, read the commitment, and work every exception until it's clear — liens, judgments, back taxes, probate, heirship, HOA estoppels, survey and municipal issues
- Chase payoffs, lien releases, and missing docs daily, straight to title companies, attorneys, buyers, and sellers — no waiting for a callback
- Track EMD, addendums, assignments, and closing docs to signature
- Review the settlement statement line by line before close — HUD-1, ALTA, or CD — and catch wrong payoffs, misapplied credits, bad prorations, or a missing assignment fee before the numbers are final
- Confirm funding — the deal isn't closed until the money hits
- Keep a clear next action, owner, deadline, and status on every active file in the CRM/Monday — anyone should open a file and know where it stands in ten seconds
- Escalate deal-killers the day you spot them, not the week the close date slips

Requirements (Non-Negotiable)
- 2+ years as a TC in U.S. wholesale real estate
- Hands-on experience coordinating novation transactions
- Proven ability to carry a heavy file load without letting anything go dark
- Direct work with U.S. title companies — you can hold your own on the phone with a closer
- Proactive by default: you follow up three times before anyone asks you once
- You perform under deadline pressure without dropping files
- Strong written and spoken English for daily U.S. seller, buyer, and attorney calls
- Able to hold U.S. Eastern hours long-term (overnight shift outside the Americas)
- Stable internet with backup connection, backup power, headset, quiet workspace

The Offer
$6.80/hour base + $75 per closed deal, uncapped. Avg 4–10 closes/month = $300–$750 extra. OTE up to $1,925/month. Consistent deal flow, long-term, and we promote from within.
