Real Estate Transaction Coordinator
Location: Miami, FL 33131
Job Type: Full-time, remote
Schedule: 10 am -7 pm EST

About the Role
We are looking for an experienced and highly organized Real Estate Transaction Coordinator to help manage residential real estate transactions from contract to close.
This person will be responsible for keeping transactions organized, communicating with all parties, tracking important deadlines, coordinating inspections, working with title companies, and helping ensure each deal moves smoothly toward closing.
The ideal candidate has experience in real estate transaction coordination, understands the closing process, communicates clearly, follows up consistently, and can manage multiple files at once.
Experience working through complex title or closing issues is a strong plus but not required for every transaction.
Key Responsibilities

Coordinate real estate transactions from executed contract through closing.
Open escrow with the title company once a property is under contract.
Communicate with sellers, buyers, agents, title companies, escrow officers, inspectors, lenders, and internal team members.
Track important deadlines, including inspection periods, financing deadlines, title deadlines, contingency periods, and closing dates.
Schedule and coordinate property inspections.
Work with sellers to ensure inspectors and vendors have timely access to properties.
Prepare, coordinate, and track repair/concession addendums when needed.
Ensure required documents are completed, signed, submitted, and stored properly.
Provide regular updates to all parties involved in the transaction.
Help identify and resolve issues that could delay closing.
Coordinate closing logistics and ensure all parties are prepared for closing.
Post and manage property listings on the MLS when needed.
Schedule post-closing follow-ups.
Help obtain client testimonials, online reviews, and potential referrals after successful closings.
Qualifications

Required:

1+ year of real estate transaction coordination experience.
Experience coordinating residential real estate transactions from contract to close.
Familiarity with title companies, escrow, inspections, contracts, addendums, and closing timelines.
Strong communication skills in English.
Strong attention to detail and organization.
Ability to manage multiple transactions and deadlines at the same time.

Preferred:

Experience with title processing, escrow coordination, or closing coordination.
Experience helping resolve title or closing issues, such as liens, payoff delays, open permits, HOA/condo estoppels, missing documents, or title objections.
Florida real estate transaction experience.
MLS experience.
Experience with DocuSign, Dotloop, Skyslope, Follow Up Boss, ---------- , Google Workspace, CRM systems, or title company portals.
Spanish proficiency is a plus.
