JOB OVERVIEW

Transaction Coordinator Assistant (Real Estate VA)
Remote | Mon–Fri, 10am–2pm EST (With potential to grow)

We’re a fast-growing New York–based real estate brokerage and investment company managing a high volume of deals. We’re looking for an experienced Transaction Coordinator Assistant who thrives on organization, loves clean systems, and takes ownership from contract to close.

This role is for someone who doesn’t just follow processes—but enjoys improving them.

What You’ll Do
Support real estate transactions from executed contract to closing

Prepare, send, and track documents via Transaction Desk

Maintain compliant, well-organized transaction files

Enter and manage listing/transaction data in OneKey MLS Matrix

Track deadlines, contingencies, and milestones

Maintain checklists, reports, and KPI tracking (Excel/Google Sheets)

Communicate updates via Slack

Proactively improve workflows, systems, and SOPs

What We’re Looking For
Required:

Proven experience as a Transaction Coordinator or TC Assistant

Strong knowledge of real estate contracts & transaction flow

Hands-on experience with:

Transaction Desk

OneKey MLS Matrix

Excel / Google Sheets

Slack, Canva

Highly organized, detail-driven, and self-directed

Strong written and spoken English

Bonus:

NY real estate experience

SOP or system-building experience

CRM familiarity

Experience supporting high-volume agents or brokerages
