Who we are
We are Melbourne based group operating across three divisions: business consulting and Odoo implementation, temperature controlled freight, and licensed manned security services. We are an Odoo Ready Partner and a Microsoft CSP. The group runs lean, moves fast, and builds its own systems rather than buying complexity.
Role purpose
This role sits at the centre of the business. You keep the systems running and the back office tight. You are the person who owns Odoo day to day, keeps our data clean, handles the administration that keeps three divisions compliant, and turns manual processes into automated ones.
It suits someone who is equally comfortable configuring an ERP module in the morning and chasing a supplier invoice in the afternoon.
Key responsibilities
Odoo ERP ownership
Act as the internal Odoo administrator across all group companies and client instances
Configure and maintain core modules including Sales, Purchase, Inventory, Accounting, CRM, Project, HR and POS
Build and maintain Odoo Studio customisations, automated actions, server actions and custom fields
Manage users, access rights, record rules, multi company settings and alias domains
Own data integrity: product masters, partner records, chart of accounts mapping, analytic accounts
Build and maintain dashboards, pivot views and reporting for each division
Manage version upgrades, module testing and issue triage with our development team
Support client facing implementations alongside the consulting team, including data migration, UAT and end user training
Systems and technical support
Administer Microsoft 365 across the group tenant: users, licensing, mailboxes, SharePoint, Teams, security policies
Manage domains, DNS records and
Build and maintain automations in n8n or similar tools connecting Odoo to third party platforms
First line support for hardware, software and connectivity issues across the office and remote team
Maintain the group IT asset register, licence register and vendor relationships
Administration and operations
Own day to day administrative workflow across the group and coordinate the offshore virtual assistant team
Process purchase orders, supplier invoices, expense claims and reconciliations into Odoo
Maintain compliance registers including insurances, licences, subcontractor documentation and vehicle records
Prepare recurring reporting packs for the Managing Director and Finance Director
Support onboarding and offboarding: accounts, equipment, access, induction documentation
Draft, format and maintain SOPs, templates and internal documentation
Continuous improvement
Identify manual and repetitive processes and replace them with Odoo native or automated solutions
Document every system change so the business is not dependent on one person's memory
Contribute to the group's internal AI and automation roadmap
Essential skills and experience
Minimum 2 years hands on experience with Odoo ERP (Online, SH or on premise) as an administrator, functional consultant or power user
Demonstrated ability to configure Odoo modules and build customisations in Odoo Studio without developer support
Strong understanding of business process across sales, purchasing, inventory and finance
Advanced Microsoft 365 and Excel skills, including pivot tables and data cleaning
High level of accuracy with numbers, records and documentation
Clear written and verbal communication, comfortable dealing with clients, suppliers and staff
Strong organisational skills and the ability to run multiple priorities without being chased
Full working rights in Australia
Desirable
Experience in logistics, food service, hospitality or security industries
Exposure to n8n, Zapier, Make or similar automation platforms
Basic Python, XML or SQL literacy
Experience with TMS platforms such as TransVirtual or CartonCloud
Experience with Xero and an understanding of ERP to accounting integration
Prior experience supporting external clients in an implementation or partner environment
What success looks like in the first six months
Odoo is fully configured and adopted across all three divisions with clean, trusted data
Monthly reporting packs are produced on time without manual rework
At least five recurring manual processes have been automated or eliminated
Compliance registers are current, complete and audit ready
Documented SOPs exist for every core administrative and system process
