About Ruyen AI

Hi! I'm Asad, founder of Ruyen AI, a UK company that provides AI receptionists to wedding venues.

Wedding venues get a lot of phone calls from couples asking about dates, prices and viewings. Many of these calls get missed because staff are busy, and every missed call can mean a lost booking worth thousands of pounds. Our AI receptionists answer every call, 24/7, and handle these enquiries automatically.

I focus on sales and finding clients. I'm looking for someone to be my right hand: someone who builds the AI receptionists and supports me with research and ideas to help grow the business.

Tools We Use (and Why)

Ulio AI is our main platform for building the AI receptionists. This is where you'll create each receptionist, write its instructions, add the venue's information and set up how it handles calls.
Claude AI is your AI assistant for the work. Use it to write and improve receptionist scripts, solve problems when you're stuck, and speed up research. It's like having an expert on hand 24/7.
---------- is our booking system. Each receptionist connects to ---------- so it can book venue viewings straight into the venue's calendar during a call.
Skool is an online community of people building AI businesses, with a mentor. When you have a question or get stuck, you can ask there and learn from people who've already solved the same problem.
Google Workspace is for everyday work: Gmail for email, Google Sheets for client lists and research, Google Docs for notes and summaries, and Google Drive to store everything.

All access will be provided.

How a Build Works

For each new wedding venue client, you will:

Collect the venue's information. I'll give you the details: prices, packages, room sizes, capacity, available dates, FAQs and contact details.
Create the AI receptionist in Ulio AI by setting up a new agent for the venue.
Write the script and instructions. Tell the AI how to greet callers, what tone to use (friendly, professional, British), and how to handle common questions.
Add the venue's knowledge so the AI answers correctly.
Connect the tools. Link the phone number, and connect ---------- so the AI can book viewings directly into the venue's calendar.
Test it properly. Call the AI yourself many times, ask normal and difficult questions, and fix anything that sounds wrong or gives incorrect information.
Hand it over by sending me a short summary of what you built and anything I should know.

You will learn Ulio AI using the resources provided. I won't be training you step by step, so you must be comfortable figuring things out yourself.

Research and Support Tasks

Alongside building, you will:

Find potential clients by researching UK wedding venues and collecting their names, websites, phone numbers and emails into a Google Sheet.
Research competitors to find out what other AI receptionist companies offer and what they charge.
Research the market for trends, opportunities and problems wedding venues have.
Give me clear recommendations on where I should focus, such as which venues, areas or ideas look strongest, and why.
Help with other business tasks as they come up.

I want someone who thinks ahead, spots opportunities and tells me what they think, not someone who only follows instructions.

Three Key Requirements

To succeed in this role, you must have all three of these:

You're a proven self-learner. You have taught yourself new software or tools before, with no one showing you how. You know how to use YouTube, AI tools, help guides and online communities to figure things out and get results.
You write excellent English. You write clearly, naturally and precisely. This is the most important skill for this job, because the quality of each AI receptionist depends on how well its instructions are written.
You have hands-on experience with AI or automation tools. You have actually built or set up something yourself, such as a chatbot, voice agent, Zapier or Make workflow, or booking system, and you can show me an example.

Experience with AI tools, chatbots, voice agents or automation such as Zapier or Make
Good at writing instructions for AI (prompt writing), clear enough that the AI behaves exactly as intended
Experience connecting tools together, such as calendars, booking systems or forms
Very good written and spoken English, because the AI speaks to UK customers
Ability to teach yourself new software without hand-holding
Strong online research skills and the ability to summarise findings clearly
Comfortable with Google Sheets and Google Docs
Attention to detail, especially when testing

Nice to Have

Experience with Ulio AI, Vapi, Retell, Synthflow or similar voice AI platforms
Experience with ---------- or similar booking systems
Experience with lead generation or market research
Experience working with UK or US clients

Working Details

Remote, part time, 10 to 15
Some hours must overlap with UK business hours
A laptop and stable internet are required

This role can grow into full time as the business grows
