As a Tax Planning Admin, you will serve as the operational backbone of the tax planning team—owning scheduling, client communication, document collection, and workflow tracking. You are the person ensuring nothing falls through the cracks, clients feel supported, and the team operates at a high level.
This is a fast-paced, high-ownership role ideal for someone who is proactive, detail-oriented, and thrives in keeping multiple moving pieces aligned.
Key Responsibilities
Scheduling & Client Coordination
- Manage and coordinate client scheduling across the tax planning team
- Ensure calendars are optimized, appointments are confirmed, and meetings are fully prepared
- Serve as a point of contact for clients to ensure a smooth, professional experience
Document Collection & Follow-Ups
- Proactively request, track, and follow up on missing client documents
- Ensure all required information is received ahead of planning deadlines
- Maintain accountability with clients while delivering a high-touch experience
File Organization & Documentation
- Organize and maintain clean, structured client files within internal systems
- Ensure all documents are properly labeled, uploaded, and accessible
- Keep client information centralized and easy for the team to navigate
Discovery Notes & Preparation
- Create clear, organized discovery notes from client data and internal inputs
- Prepare summaries ahead of planning calls so advisors are fully equipped
- Ensure accuracy and completeness of all pre-call materials
Workflow Tracking & Execution
- Track the status of all active clients and ensure work is progressing on time
- Identify bottlenecks and take action to keep projects moving forward
- Coordinate across tea
Client Communication & Support
- Manage ongoing client communication through
- Respond promptly and professionally to client inquiries
- Ensure all client touchpoints are handled with care and no communication goes unanswered
Role Expectations
- Maintain strong organization across multiple clients, deadlines, and workflows
- Ensure timely follow-ups and consistent client communication
- Operate proactively by identifying issues before they become problems
- Keep internal systems clean, accurate, and up to date

Requirements
- Strong organizational and time management skills
- Ability to manage multiple tasks and priorities simultaneously
- Excellent written and verbal communication skills (high English proficiency)
- High attention to detail and strong follow-through
- Ability to work in a fast-paced, deadline-driven environment
- Comfortable using digital tools and systems for tracking and communication
