Online Assistant — Talent Management (Remote, LA Hours)

Location: Remote (must work Pacific / Los Angeles business hours 9am- 6pm - 1 hour unpaid break)

About the Role

Citizen Skull is seeking a detail-oriented, entertainment-savvy Online Assistant to support day-to-day talent management operations. This is a fast-paced, high-volume role supporting a working talent manager overseeing a large roster of actors, hosts, and on-camera talent across film, TV, and commercial work. You'll be the right hand keeping schedules, submissions, correspondence, and client files running smoothly — with enough industry knowledge to know why any of it matters.

What You'll Do

Manage calendars, auditions, callbacks, and self-tape deadlines across multiple time zones
Submit talent for roles on casting websites (Actors Access, Casting Networks, Backstage, etc.), matching clients to appropriate breakdowns
Track submissions, bookings, and client availability in real time
Draft and send professional correspondence to clients, casting directors, and industry contacts
Organize and maintain client files, contracts, and performance/reel materials
Monitor casting notices and breakdowns relevant to the roster
Assist with light contract review and flagging items for the manager's attention
Keep a tidy, accurate paper trail — nothing falls through the cracks on your watch
Handle general inbox and admin support with a professional, on-brand tone
Act as gatekeeper for day-to-day client check-ins and needs, fielding and resolving what you can — only escalating to the manager when there's an actual deal, offer, or decision on the table

Who You Are

Detail-oriented to a fault. You catch typos, mismatched dates, and missing signatures before anyone else does.
Genuinely into American film and TV. You know the industry landscape, follow casting news, and understand what a "series regular" vs. "co-star" credit means without being told.
Admin-strong. Confident with calendars, email management, file organization, and juggling multiple moving parts without dropping any of them.
Performance-literate. You understand audition process, reels, headshots, and what makes a submission stand out — enough to have real conversations about talent.
Able to be firm when needed. Comfortable holding a line with clients or contacts respectfully but clearly, without needing hand-holding on tone.
Takes direction well. Executes instructions accurately the first time, asks smart clarifying questions rather than guessing.
Reliable on LA hours. Available and responsive during Pacific business hours, regardless of your physical location.
Comfortable on casting platforms. Experience with (or quick to learn) Actors Access, Casting Networks, Backstage, or similar submission sites.
Empathetic with talent. You understand the emotional highs and lows of an acting career — rejection, waiting, the grind — and can support clients with warmth while still holding professional boundaries.
Confident using AI tools. Comfortable using AI (e.g. ChatGPT, Claude) to help draft and refine responses to talent quickly and professionally.

Nice to Have

Prior experience in talent management, casting, or entertainment admin
Experience drafting client-facing correspondence
Background in performing arts studies, or a strong personal interest in Hollywood and the entertainment industry
