About the Role
We are looking for a reliable and highly capable Systems & Reporting Coordinator to support our team with day-to-day system issues and build clear reporting dashboards for the business.
This role combines:
Level 1–2 IT / systems support
Data reporting and dashboard creation (Excel / Google Sheets)
You will be responsible for keeping our systems running smoothly and ensuring leadership has clear visibility on performance.
This is a hands-on, execution-focused role.
Key Responsibilities
Systems & IT Support
Provide day-to-day support for tea
Resolve issues across CRM, phone systems, and internal platforms
Maintain and monitor systems (Pipedrive, Aircall, Keap/GoHighLevel)
Escalate complex issues when needed
Reporting & Dashboards
Build and maintain dashboards in Excel or Google Sheets
Track key metrics such as:
leads
bookings
show rates
conversion rates
Extract data from systems and ensure accuracy
Deliver daily and weekly reports
Identify missing or incorrect data
Systems & Process Support
Identify gaps or inefficiencies in systems
Suggest and implement improvements
Ensure data is entered correctly by the team
Key Requirements
Experience in IT support, systems support, or similar role
Strong Excel or Google Sheets skills (formulas, dashboards, reporting)
Experience working with CRM systems (Pipedrive, HubSpot, Salesforce or similar)
Strong problem-solving ability
Highly organised and detail-oriented
Able to work independently and resolve issues quickly
Strong written and spoken English
Reliable and consistent attendance is essential
Highly Regarded
Experience with Aircall or VOIP systems
Experience with integrations or automation tools
Experience in reporting or operations roles
Working Hours
Must be available during Australian business hours (AEST)
