We are a U.S.-based construction company managing residential renovations, rehabs, turns, and construction projects across multiple markets.
We are looking for a highly analytical and systems-oriented **Systems & Reporting Analyst** to own and improve the technology and reporting systems used to manage our operations.
The primary systems for this role will include **SiteCapture, Power BI, Excel/Google Sheets, QuickBooks data, and other construction/project management platforms**.
This person will be responsible for ensuring our systems contain accurate information, building dashboards and reports for management, identifying missing or incorrect data, automating repetitive processes, and continuously improving how information moves through the company.
This is not a general administrative position.
We are looking for someone who enjoys systems, data, automation, reporting, and solving operational problems.
Primary Responsibilities
SiteCapture Administration
You will become the internal owner of SiteCapture.
Responsibilities include:
* Build and maintain SiteCapture templates.
* Create standardized inspection and project forms.
* Maintain project workflows.
* Configure required photos, questions, fields, and documentation.
* Create templates for different clients and project types.
* Maintain naming standards and project organization.
* Add new projects and ensure they are set up correctly.
* Create and maintain user accounts and permissions.
* Troubleshoot SiteCapture issues for Project Managers and field personnel.
* Review submissions for missing information.
* Identify incomplete inspections and missing photos.
* Track whether required inspections have been completed.
* Improve SiteCapture workflows based on feedback from the field.
* Reduce unnecessary fields and duplicate work.
* Create processes that make field reporting simple and consistent.
The objective is for SiteCapture to become the primary source of accurate field information for every project.
Power BI Reporting & Dashboards
Build and maintain management dashboards that provide real-time visibility into company operations.
Dashboards may include:

## Data Management
Maintain accurate data across company systems.
Responsibilities include:
* Audit project data regularly.
* Identify missing or incorrect information.
* Correct data inconsistencies.
* Maintain standardized project names and IDs.
* Maintain client and market classifications.
* Ensure projects are properly assigned to Project Managers.
* Maintain project status definitions.
* Create standardized data structures across systems.
* Create master project databases where necessary.
* Reconcile information between systems.
The company should not have conflicting versions of the same project information.
## Systems Integration
Work toward connecting company systems so information does not need to be entered multiple times.
Potential systems may include:

Responsibilities may include:

The goal is to automate repetitive administrative work wherever practical.
## Workflow Automation
Identify repetitive tasks being performed manually and determine whether they can be automated.
Examples include:
* Automatically creating projects.
* Automatically generating reports.
* Sending alerts when projects become overdue.
* Flagging missing SiteCapture inspections.
* Flagging missing photos.
* Alerting management when project margins decline.
* Automatically updating project dashboards.
* Creating weekly management reports.
* Identifying overdue invoices.
* Identifying projects that have not been updated recently.
* Tracking missing documentation.
## Reporting
Prepare recurring reports for management.
### Daily Reporting
Provide visibility into:
* Projects requiring attention.
* Projects behind schedule.
* Missing SiteCapture updates.
* Missing inspections.
* Projects without recent activity.
* Major data issues.
### Weekly Reporting
Prepare a management dashboard covering:
* Active projects.
* Projects started.
* Projects completed.
* Contract value.
* Revenue invoiced.
* Revenue collected.
* Accounts receivable.
* Gross profit.
* Gross margin.
* Project delays.
* Pipeline.
* Project Manager performance.
Management should be able to understand the condition of the business without manually searching through multiple systems.
## System Documentation
Create clear documentation for company systems and processes.
This includes:
* Standard operating procedures.
* SiteCapture instructions.
* Dashboard definitions.
* Data entry standards.
* Project setup instructions.
* Reporting processes.
* System integration documentation.
* Employee training guides.
Processes should not exist only in one person's memory.
## Systems Improvement
Continuously identify opportunities to improve how the company operates.
You should regularly ask:
* Why are we entering this information twice?
* Why does management have to manually find this information?
* Can this be automated?
* Is this data accurate?
* Is anyone actually using this field?
* Can this workflow be simpler?
* Can we identify this problem sooner?
* Can management see this information on a dashboard?
The goal is not simply to maintain existing systems.
The goal is to **make the systems better.**
## Key Performance Indicators
Performance will be measured based on:
* Accuracy of company reporting.
* SiteCapture compliance.
* Percentage of projects with complete required data.
* Number of missing inspections/photos.
* Dashboard accuracy.
* Reporting delivered on schedule.
* Reduction in manual administrative work.
* Number of workflows automated.
* System uptime and reliability.
* Speed of correcting data issues.
* Adoption of systems by field and office staff.
## Ideal Candidate
The ideal candidate has experience with several of the following:
* Power BI
* Microsoft Excel

* SiteCapture or similar field inspection software

Strong Power BI and Excel skills are highly preferred.
Construction experience is helpful but not required.
A candidate with strong systems and analytical skills can learn the construction terminology.

The Systems & Reporting Analyst is responsible for building the infrastructure that makes those answers reliable and easy to access.
The ultimate goal is to create a company where decisions are based on accurate, real-time information rather than spreadsheets, text messages, memory, or manually searching through multiple systems.
