Position Summary
The Supply Chain & Logistics Coordinator is responsible for monitoring inbound shipments, coordinating with suppliers and freight partners, maintaining shipment visibility, ensuring timely document flow, and providing operational reports to support business continuity and inventory availability.
Key Responsibilities
1. Shipment Monitoring & Tracking
• Monitor all inbound shipments from supplier dispatch through final delivery.
• Maintain and update shipment tracking reports.
• Provide regular shipment status updates to management.
• Identify and escalate shipment delays, missing documentation, and logistics issues.
• Follow up with suppliers, freight forwarders, brokers, and warehouses regarding shipment progress.
2. Logistics Coordination
• Coordinate shipment schedules with suppliers and logistics partners.
• Track container movements and air shipments.
• Assist in managing shipping timelines and expected arrival dates.
• Ensure all parties are informed of shipment status changes.
3. Documentation Management
• Collect, organize, and maintain shipment documentation, including:
o Commercial Invoices
o Packing Lists
o Bills of Lading
o Air Waybills
o Customs documents
• Verify completeness of shipping documents before clearance.
• Coordinate document submission to brokers and relevant stakeholders.
4. Operational Reporting
• Prepare shipment status reports and logistics summaries.
• Maintain shipment trackers and operational dashboards.
• Provide management with updates on pending, delayed, and completed shipments.
• Assist in data gathering and reporting for business operations.
5. Cross-Functional Coordination
• Liaise with suppliers, freight forwarders, brokers, warehouses, and internal teams.
• Follow up on outstanding actions required for shipment movement and clearance.
• Support resolution of logistics and documentation issues.
6. Process Improvement
• Recommend improvements to shipment tracking and reporting processes.
• Assist in maintaining accurate logistics records and operational procedures.
• Support implementation of supply chain tracking tools and systems.
7. Business Support Projects
• Conduct supplier and service provider research as requested.
