We're hiring a Supply Chain Coordinator to own the entire operational backbone of a growing Asian American art and lifestyle brand scaling toward $1M in revenue this year.
We sell original watercolor art-printed products — tote bags, tea towels, Swedish dish cloths, art prints — and our flagship product, the Ultimate Journal Bag. All products are manufactured in China and fulfilled through our own warehouse. The founder runs product development and content. Your job is to make sure everything else runs without her.
This means supplier relationships, inventory systems, financial tracking, warehouse coordination, and operational infrastructure — built, owned, and continuously improved by you. Not supported by you. Not assisted by you. Owned by you.
We are not looking for someone to maintain existing systems. We are looking for someone who builds them, then runs them, then makes them better — without being asked.

Responsibilities
• Own all communication with China-based manufacturers. You will be the main person in charge of ensuring every product goes from design, production, and shipped to our warehouse.
Track every active shipment from departure in China through US customs and final delivery to the warehouse.
• Own inventory health across all SKUs. Build and maintain a reorder system with calculated reorder points based on sell-through rates and 45–70 day lead times.
• Own the financial record-keeping of the business.
• Ensure the warehouse team has everything they need to operate. Build and maintain SOPs for all warehouse function.

• Use Claude and ChatGPT daily as core operational tools. Build a prompt library for recurring tasks. Proactively surface new AI tools and workflows that improve operations.
Requirements
• Minimum 3 years of experience in operations, supply chain, or business management within an e-commerce or product-based business.
• Demonstrated experience building operational systems from scratch — not inheriting and maintaining, but designing and implementing.
• Experience managing international supplier relationships. Chinese manufacturer experience and WeChat familiarity are strong advantages.
• Strong financial literacy — COGS, landed cost, gross margin, cash flow, and basic P&L concepts. You can build a financial summary a founder can actually use.
• Hands-on experience with invoicing, bookkeeping, and expense tracking. QuickBooks or Wave experience preferred.
• Advanced Google Sheets skills. You can build a working inventory tracker or COGS calculator from scratch.
• Proficient in
• Actively uses AI tools — Claude, ChatGPT, or similar — as a core part of daily work. You write specific prompts, iterate on outputs, and use AI to build systems and solve problems. You will be asked to demonstrate this during the application process.
• Strong written English. You can represent the business professionally in all vendor correspondence.
• You have a specific example of identifying an operational problem before being told about it and solving it. You will be asked to share this during the application process.

• Founder has not sent a single message to a Chinese supplier within 30 days.
• Inventory reorder system live within 30 days — reorder points calculated, alerts active, zero stockouts going forward.
• COGS tracker complete for every SKU within 60 days.
• Monthly operational review delivered to founder proactively — not when asked.
• At least two workflow improvements proposed and implemented within 60 days without being asked.
• Zero stockouts due to missed reorder windows at 90 days.
• Payroll and tax filing support running on schedule with zero founder involvement at 90 days.
• Founder completely removed from day-to-day operational execution at 90 days.
Compensation
• $10–$15 USD per hour based on experience and demonstrated results.
• 15–20 hours per week to start. Strong potential to grow into a full-time role as the business scales. Performance-based rate increase available at 90-day review.
