Position Overview
HABU Property Management is seeking a detail-oriented and hospitality-focused Virtual Assistant to manage after-hours guest communications for our short-term rental portfolio. This role responds to guest messages, assists with guest issues, coordinates with internal teams when necessary, and ensures guests have a smooth and positive experience during their stay.
Key Responsibilities
Monitor and respond to guest messages across Airbnb, VRBO, Hostaway, and direct booking channels.
Operate guest communications through Hostaway (primary property management system).
Assist guests with check-in instructions, WiFi access, property features, and house rules.
Become familiar with short-term rental platform policies including Airbnb and VRBO guidelines.
Troubleshoot common guest issues such as smart lock access or WiFi connectivity.
Escalate urgent guest issues to the appropriate internal team.
Submit maintenance work orders in AppFolio when required.
Coordinate with field technicians, cleaners, and operations staff when necessary.
Become familiar with property details, amenities, and internal documentation.
Maintain accurate records of guest communications and issue resolution.
Required Qualifications
Strong written English communication skills
Hospitality or guest service experience
Experience with Airbnb or other short-term rental platforms
Ability to remain calm and professional during guest complaints
Reliable internet connection
Ability to work 5 PM – 1 AM Arizona Time consistently
Strong attention to detail
Preferred Qualifications
Experience using Hostaway
Experience with AppFolio
Experience working with short-term rental property managers
Familiarity with Airbnb and VRBO policies and resolution processes
Customer support or hospitality background
