Full-Time | Remote | US$280 per Week | Australian Business Hours
We’re hiring an experienced Shopify Ecommerce Inventory & Merchandising Specialist to support the Australian and New Zealand ecommerce operations of a leading global headwear and lifestyle brand.
This is a hands-on ecommerce operations role for someone who is equally comfortable working with Shopify, inventory data, Excel and product merchandising as they are communicating clearly with a remote team.
We are specifically looking for someone who can:
- Investigate inventory discrepancies rather than simply report them
- Work confidently with large product and stock datasets
- Maintain accurate Shopify product and merchandising information
- Identify stock risks before they become customer or operational issues
- Communicate problems, findings and next steps clearly
- Take ownership of issues and follow them through to resolution
This is not a customer service role, general virtual assistant position or basic Shopify data-entry role.
You’ll report to the Head of Digital AU & NZ and collaborate closely with Ecommerce, Planning, Marketing and Operations.
Compensation and Schedule
Pay: US$280 per week
Payment: Weekly
Hours: 40 hours per week
Schedule: Monday to Friday, aligned with Australian business hours
Location: Fully remote
Engagement: Full-time, long-term opportunity
The advertised rate is fixed. Please only apply if you are comfortable with the compensation and schedule.
Key Responsibilities
Ecommerce Inventory Management
- You will be expected to work directly with inventory data and help maintain accurate stock information across the ecommerce business.
Responsibilities include:
- Maintain and monitor accurate stock-on-hand information in Shopify
- Assist with inventory reconciliation between Shopify and SAP
- Investigate discrepancies between systems and identify the likely cause
- Monitor sell-through, weeks of cover, aged stock, out-of-stocks and overstock risks
- Maintain recurring inventory health and exception reports
- Support replenishment and back-in-stock processes
- Identify unusual stock movements or data inconsistencies
- Escalate inventory risks clearly and early
- Follow inventory issues through until they are resolved
We need someone who can look at inventory data, recognise when something does not make sense, investigate why, and communicate what needs to happen next.
Shopify Product Management
- Create, enrich and maintain Shopify product listings
- Maintain descriptions, imagery, specifications, tags, metafields and categorisation
- Assign products to the correct collections
- Maintain accurate filters, navigation and collection structures
- Conduct regular checks for missing, incorrect or outdated product information
- Troubleshoot product-data and website-display issues
- Support new product launches, seasonal updates and promotional activity
- Ensure product information remains accurate as inventory and ranges change
Reporting and Analysis
- Produce recurring inventory and merchandising reports
- Report on stock on hand, out-of-stocks, aged inventory and sell-through
- Support weekly and monthly ecommerce trading reports
- Analyse large datasets and identify exceptions or unusual results
- Highlight stock risks, opportunities and data-quality issues
- Turn raw data into clear and practical recommendations
- Help improve or automate recurring Shopify and SAP reports
Site Merchandising
- Manage Shopify collections and product sequencing
- Maintain collection sorting based on stock availability and trading priorities
- Identify and fix broken collections, incorrect links and miscategorised products
- Ensure unavailable or low-stock products are appropriately merchandised
- Support basic website updates where required
A dedicated local team member manages most content execution, so advanced graphic design or content-production experience is not required.
Essential Experience
To be considered, you must have demonstrated experience in both Shopify ecommerce operations and inventory management.
You must have:
- Strong, hands-on Shopify administration experience
- Practical ecommerce inventory or stock-management experience
- Experience investigating and resolving inventory discrepancies
- Strong Excel or Google Sheets skills
- Confidence working with large product and inventory datasets
- Experience creating, enriching and maintaining ecommerce product listings
- Experience with Shopify collections, tags, metafields and product categorisation
- Understanding of stock availability, sell-through, out-of-stocks and inventory health
- Strong written and spoken English
- Excellent attention to detail
- Strong problem-solving skills
- Full-time availability during Australian business hours
Customer service experience alone will not be sufficient for this position.
Excel Skills
You should be comfortable using Excel or Google Sheets for inventory analysis rather than basic data entry.
We are particularly interested in candidates who regularly use tools such as:
- XLOOKUP or VLOOKUP
- INDEX/MATCH
- SUMIFS and COUNTIFS
- IF statements
- PivotTables
- Filters and sorting
- Conditional formatting
- Data cleaning and reconciliation
- Large CSV or product-data exports
- SAP / ERP Experience
SAP experience is highly regarded but is not mandatory.
Strong Shopify and inventory capability is more important. The successful candidate can be trained in the company's SAP processes.
Experience with another ERP, inventory-management or warehouse system is also valuable.
Highly Regarded
- Fashion, apparel, footwear, accessories or lifestyle-brand experience
- Multi-channel ecommerce inventory experience
- Shopify Plus experience
- Advanced Shopify metafields
- ERP or inventory-management systems
- Reporting automation
- Power BI or other data-visualisation tools
- Ecommerce trading or merchandising experience
- Product launches and promotional trading support
- The Working Style We Need
Technical skills alone will not be enough for this role.
Because this is a remote position, you must be a clear, proactive and dependable communicator.
We are looking for someone who:
- Gives clear and concise updates
- Raises problems early rather than waiting to be asked
- Explains what they found when investigating an issue
- Confirms next steps and follows through
- Asks sensible questions when information is unclear
- Works methodically and consistently
- Takes accountability for their work
- Can manage recurring responsibilities without constant reminders
- Communicates professionally with different teams
If you discover an inventory discrepancy, we do not want someone who simply reports that the numbers do not match.
We want someone who will investigate the issue, explain what they checked, identify the likely cause, recommend the next action and follow it through to resolution.
What Success Looks Like
Within your first three months, you should be able to:
- Establish a reliable inventory-monitoring routine
- Independently investigate common inventory discrepancies
- Maintain consistently accurate Shopify product information
- Deliver inventory and merchandising reports correctly and on time
- Identify and communicate stock risks before they become larger issues
- Execute product launches and merchandising updates accurately
- Provide clear updates without requiring repeated follow-up
- Build trust with the team through accuracy, communication and ownership
How to Apply
Applications that do not complete all screening questions will not be considered.
Please answer the following:
1. Please attach your most updated CV.
2. Tell us about your hands-on Shopify experience.
What Shopify tasks have you personally managed, particularly across product listings, collections, tags, metafields, merchandising and inventory?
3. Describe one specific inventory discrepancy you personally identified and resolved.
What was the issue, how did you identify it, what did you investigate, what caused it, and how did you resolve it?
4. What inventory reporting and analysis have you personally handled?
Please include the inventory metrics you have worked with (such as stock on hand, sell-through, weeks of cover, aged stock, out-of-stocks or overstock) and the Excel/Google Sheets formulas or tools you regularly use.
5. Scenario: You discover that the stock quantity in Shopify does not match the ERP or inventory report. Talk us through exactly what you would do from the moment you identify the discrepancy until it is resolved. How and when would you communicate the issue to your manager or team?
Please also confirm in your application that you are available to work 40 hours per week during Australian business hours and are comfortable with the fixed rate of US$280 per week, paid weekly.
Applications with incomplete or generic answers will not progress to the next stage.
