JOB OVERVIEW

ABOUT THE BUSINESS

We are a growing UK-based Airbnb and serviced accommodation company generating approximately £1.5 million in annual turnover.

We use a combination of property-management, guest-communication, pricing, accounting and productivity systems to manage our properties and team.

We are looking for an experienced Automation Specialist who can take ownership of identifying, building, documenting and maintaining automations throughout the business.

This is not a basic virtual assistant position. You must already have strong technical experience with n8n and be capable of working independently with limited instruction.

• APIs, webhooks and databases
• AI tools such as ChatGPT and other language models

Experience with every platform is not essential, but you must be confident learning new systems, reading API documentation and determining what can be safely automated.

KEY RESPONSIBILITIES

Automation Development

• Design, build, test and deploy reliable n8n workflows
• Connect systems using APIs, webhooks, HTTP requests and databases
• Automate repetitive duties currently completed by our operations, guest-management and finance teams
• Build workflows that transfer information accurately between our systems
• Create automated notifications, reports, task assignments and exception alerts
• Add error handling, retries, logging and monitoring to every important workflow
• Troubleshoot failed workflows and resolve problems quickly
• Maintain and improve existing automations

Business Process Auditing

• Review how our team currently completes its daily responsibilities
• Interview team members and map existing processes from beginning to end
• Identify duplicated work, delays, unnecessary manual steps and opportunities for automation
• Calculate the time, cost and potential benefit of proposed improvements
• Recommend which processes should be automated, improved or removed
• Create a prioritised automation roadmap for the business

Continuous Business Improvement

• Proactively identify new ways to save time, reduce costs and improve accuracy
• Suggest improvements without waiting to be given step-by-step instructions
• Research new tools and integration opportunities
• Develop new systems that improve the guest experience, team productivity and financial control
• Review completed automations to confirm that they are producing measurable results
• Continuously improve workflows as the business grows

DOCUMENTATION AND CONTROL

• Produce clear workflow diagrams and written documentation
• Record what each automation does, which systems it affects and who owns it
• Maintain secure records of credentials and connections using approved methods
• Create user guides and short training videos for the team
• Keep development and production workflows properly separated
• Maintain backups and version records
• Follow platform rules, data-protection requirements and approved API access methods
• Never use automations intended to bypass Airbnb, ---------- or another platform’s restrictions

EXAMPLES OF POTENTIAL PROJECTS

• Automatically creating and assigning operational tasks from reservation data
• Producing daily arrival, departure and cleaning reports
• Alerting the team when important guest or reservation information is missing
• Monitoring unanswered guest messages and response times
• Synchronising reservation and property data between approved systems
• Automating owner statements and property-level financial reporting
• Matching invoices and payments in Xero
• Producing revenue, occupancy and pricing reports
• Identifying workflow failures before they affect guests
• Creating management dashboards and automated weekly reports
• Automating team quality-control and audit processes

ESSENTIAL REQUIREMENTS

• Strong practical experience building production workflows in n8n
• Experience working with REST APIs, webhooks, JSON and HTTP requests
• Good understanding of authentication, including API keys and OAuth
• Experience with JavaScript or Python for custom workflow logic
• Experience working with databases, spreadsheets and structured data
• Ability to design workflows with error handling, logging and alerts
• Strong troubleshooting and problem-solving ability
• Excellent written and spoken English
• Strong attention to detail
• Ability to work independently and manage projects from idea to completion
• Ability to explain technical matters clearly to non-technical team members
• Reliable computer, high-speed internet and backup internet connection

DESIRABLE EXPERIENCE

• Previous work with Airbnb, serviced accommodation, hotels or property management
• Experience with Lodgify, Enso Connect, PriceLabs or similar systems
• Experience integrating Xero
• Experience with AI agents, large language models and prompt engineering
• Familiarity with PostgreSQL, Supabase or similar databases
• Experience with Git, Docker or self-hosted n8n
• Experience building dashboards and management reports
• Knowledge of UK GDPR and secure handling of guest and financial data

WHAT SUCCESS LOOKS LIKE

During your first 90 days, you will be expected to:

• Understand and document our main systems and processes
• Audit the team’s repetitive daily and weekly duties
• Identify and prioritise the strongest automation opportunities
• Repair or improve existing workflows where necessary
• Deliver several reliable, fully documented automations
• Establish monitoring and alerts for business-critical workflows
• Present a longer-term automation and improvement roadmap
• Demonstrate measurable time savings or reductions in manual work
