THE ROLE
We are hiring an experienced Senior Regulatory Coordinator. This is not a general VA role. It is senior paralegal-level work. You prepare and submit filings to government agencies, and you track the deadlines that keep our clients' products legal to sell.
WHAT YOU WILL DO
- Read product labels and confirm the correct product type for each state. The product type d
- Fill out state registration forms and online state portals accurately.
- Copy label data, such as guaranteed analysis, exactly as written.
- Total registration fees and check them against each state's fee schedule.
- Run monthly renewal cycles and tonnage (sales volume) reports for each client.
- Check documents from clients. Confirm that the label changes we requested were actually made.
- Prepare filing packets and cover letters for mailing.
- Ask clients for missing information, clearly and politely.
- Spot problems early and suggest the fix, without waiting to be told.

YOU MUST HAVE
- 2+ years preparing or submitting filings, reports, renewals, permits or applications to a government agency. Philippine agencies count. Examples: FDA Philippines (CPR or LTO), SEC (GIS), BIR, LGU business permits, customs, DTI, or similar.
OR 2+ years as a paralegal or legal assistant.
- Strong attention to detail. One wrong number on a state form can cause a rejection.
- Clear written English.
- A reliable computer, stable internet, and a backup (mobile data or a second ISP) plus a power backup plan.
- Able to work our schedule (below).
NICE TO HAVE
- Experience with US clients or US government websites.
- Experience in agriculture, food, pharmaceuticals, cosmetics or chemical registration.
- Microsoft 365 (Outlook, Excel, Teams) and PDF editing tools.
SCHEDULE AND PAY
- Full-time, Monday to Friday, 8 hours per day.
- Start time: 5:00–6:00 AM Philippine time (2:00–3:00 PM US Pacific). This is a day shift in the Philippines.
- Pay: $800–1,000 USD per month, based on experience. Paid twice a month.
- 90-day performance review. 13th-month pay in December.
- Long-term role. We are growing.
