JOB OVERVIEW

e are a U.S.-based telecommunications engineering and professional services company looking for an experienced Senior Accountant / QuickBooks Accountant in the Philippines to take ownership of our day-to-day accounting, customer invoicing, accounts receivable, collections, and monthly financial reporting.

This is not a basic data-entry or virtual assistant position.

We are looking for someone who understands accounting, is highly experienced with QuickBooks Online, and can independently manage reconciliations, invoicing, receivables, collections, month-end close, and financial reporting.

A major part of this position will be ensuring that work completed by our company is invoiced promptly, tracked properly, and collected according to customer payment terms.

Key Responsibilities

Customer Invoicing & Accounts Receivable

Prepare and send customer invoices accurately and on time
Review project information before invoicing
Verify purchase orders, billing amounts, customer requirements, and payment terms
Make sure invoices include required supporting documentation
Coordinate with project managers to obtain missing billing information
Enter and maintain invoices in QuickBooks Online
Track invoices from issuance through payment
Maintain accurate Accounts Receivable aging
Monitor invoice approval status with customers
Follow up with customer accounting/AP departments regarding unpaid invoices
Professionally follow up on past-due accounts
Obtain payment-status updates and expected payment dates
Identify invoices that are delayed, rejected, disputed, or missing documentation
Work with management and project teams to resolve billing discrepancies
Track customer payment commitments
Apply customer payments correctly in QuickBooks
Identify short payments, credits, deductions, and unapplied cash
Provide management with a weekly list of invoices requiring attention
Help improve the company's billing and collection cycle

The goal is simple:

Completed work should be invoiced quickly, and invoices should not sit unpaid without active follow-up.

Accounting Responsibilities

You will also be responsible for:

Maintaining QuickBooks Online
Bank and credit-card reconciliations
General ledger maintenance
Accounts payable
Vendor bill entry and coding
AP aging reports
Preparing vendor payment schedules for management approval
Payroll reconciliation
Loan and liability reconciliations
Journal entries and adjusting entries
Accruals and prepaid expenses
Balance-sheet reconciliations
Month-end close
Profit & Loss Statement
Balance Sheet
Cash Flow Statement
AR and AP aging reports
Project/job-costing support
Tracking revenue and expenses by customer/project
Project profitability reporting
Preparing accounting schedules for our U.S. CPA
Assisting with 1099 preparation
Maintaining organized accounting documentation
Identifying unusual transactions or accounting discrepancies
Weekly Management Reporting

We would like this person to provide management with a simple weekly financial report showing:

Current cash position
Total accounts receivable
Invoices issued during the week
Invoices awaiting customer approval
Past-due invoices
Customer payment commitments
Collections received
Accounts payable coming due
Major cash requirements
Billing or accounting issues requiring management attention
Required Experience

Applicants should have:

3+ years of accounting/bookkeeping experience
Strong QuickBooks Online experience
Experience working with U.S.-based companies
Strong customer invoicing experience
Strong Accounts Receivable experience
Experience following up on unpaid invoices and customer collections
Experience completing month-end close
Strong understanding of debits and credits
Bank and balance-sheet reconciliations
Accounts payable
Journal entries
Accrual accounting
Payroll reconciliation
Financial statement preparation
Excel or Google Sheets proficiency
Strong written and spoken English
Strong attention to detail
Ability to communicate professionally with customers
Ability to work independently and meet deadlines

Experience with engineering, construction, telecommunications, professional services, project accounting, job costing, purchase orders, or project-based invoicing is highly preferred.

What We Are Looking For

We do not want someone who simply records transactions.

We want an accountant who takes ownership.

If an invoice is approaching its due date, we expect you to know about it.

If an invoice is past due, we expect appropriate follow-up.

If a customer says an invoice cannot be processed because a PO number or supporting document is missing, we expect you to identify the issue and work internally to resolve it.

If an account does not reconcile, we expect you to investigate it rather than simply make a journal entry to force the numbers to balance.

You should be comfortable communicating directly with management, project managers, vendors, and customer accounting departments.

Work Schedule

Approximately 25–30 hours per week initially.

Most work can be completed during Philippine business hours, but regular overlap with U.S. Pacific Time will be required for communication with management, project teams, and customers.

There is an opportunity for this position to grow into a full-time role.

Compensation

$900 to start and depending on experience.

There will be an initial 60-day evaluation period.

We are looking for a long-term team member, and compensation can increase as responsibilities and performance grow.

Financial Controls

The accountant may prepare invoices, accounting entries, payment schedules, reports, and collection follow-ups.

However, management will retain final authority over:

Bank transfers
ACH payments
Wire transfers
Vendor payments
Payroll releases
Changes to bank accounts
Customer credits or write-offs
Changes to customer payment terms
How to Apply

Begin your application with:

SENIOR ACCOUNTANT

Then answer the following:

How many years of accounting experience do you have?
How many years have you used QuickBooks Online?
Describe your experience working with U.S. companies.
Have you independently completed month-end close?
Describe your experience preparing and sending customer invoices.
Have you worked with purchase orders and project-based invoicing?
Describe your experience managing Accounts Receivable.
Have you personally followed up with customers regarding overdue invoices?
How do you professionally handle a customer that continues to delay payment?
Have you maintained an AR aging report and collection schedule?
Do you have experience with project or job-cost accounting?
Have you prepared P&L, Balance Sheet, and Cash Flow statements?
Describe your payroll reconciliation experience.
What monthly compensation are you requesting for 25–30 hours per week?
What hours are you available to work?
Describe your computer and internet setup.
Accounting Question

QuickBooks shows a bank balance of $82,400, while the bank statement shows $76,900.

Explain the steps you would take to investigate and reconcile the difference before making any journal entry.

Accounts Receivable Question

A customer owes the company $35,000 on an invoice that is now 20 days past due.

The customer has repeatedly said, “It's being processed,” but has not provided a payment date.

Explain exactly what steps you would take to move the invoice toward payment while maintaining a professional relationship with the customer.

Please answer these questions yourself. We are interested in understanding your accounting and collection thought process rather than receiving a perfect written response.

Final candidates will be asked to complete a short-paid accounting skills assessment.
