We are seeking an experienced, detail-oriented QuickBooks Online (QBO) Bookkeeper to take full ownership of bringing our company’s books up to date and maintaining them. The primary focus of this role is core accounting: catching up a 6-month backlog across 6 business accounts (including bank feeds, credit lines, and a Sherwin-Williams vendor account) and matching 250–300 pending transactions.
We run an integrated stack using QBO Plus, QuickBooks Payroll Premium (W-2), QuickBooks Payments, and Melio.
Bonus Skills (Not Required): If you also have lightweight experience with video/graphics tools or scheduling (CapCut, Canva, Publer) or general admin, we have additional hours available. If not, our existing VA team can easily train you on these secondary tasks. Your QBO and accounting experience is what matters most.
This is a remote, flexible contract position starting at 15 to 20 hours per week (with potential for more hours if taking on secondary admin/media tasks).
KEY RESPONSIBILITIES (CORE FOCUS - 80%+):
1. 6-Account Catch-Up & Reconciliations: Methodically resolve a 6-month backlog across 6 bank, credit card, and vendor accounts.
2. Melio & Merchant Matching: Correctly map and clear outgoing Melio bill payments and incoming QuickBooks Payments deposits to prevent duplicate entries or balance discrepancies.
3. Vendor Account Fixes: Audit and clean up our Sherwin-Williams vendor sub-account to reflect accurate historical balances.
4. Payroll Alignment: Reconcile QuickBooks Payroll Premium runs for W-2 employees so payroll journal entries match bank feeds.
5. Monthly Reconciliations: Produce clean, balanced Profit & Loss and Balance Sheet statements monthly.
SECONDARY RESPONSIBILITIES (OPTIONAL / WILLING TO TRAIN):
1. Perform basic video trimming or captioning in CapCut.
2. Schedule provided graphics, videos, and captions in Publer.
3. Make light edits to graphics templates in Canva.
4. Assist with routine administrative filing or task coordination with our existing Filipina VA team.
QUALIFICATIONS & REQUIREMENTS:
1. Proven QBO Expertise (Required): Strong, hands-on experience with QBO Plus, multi-account bank feed matching, and vendor balance cleanup (QBO ProAdvisor certification preferred).
2. Melio & Payroll Knowledge (Required): Solid understanding of how Melio bill-pay clears into QBO without disrupting bank reconciliations.
3. High Attention to Detail: Methodical troubleshooter who double-checks figures and balances to the penny.
4. CapCut / Publer / Canva Experience: A plus, but not required (we will train you).
COMPENSATION & HOURS:
Hourly Rate: $7.00 – $10.00 USD/hour (reflecting strong bookkeeping expertise)
Hours: 15–20 hours/week initially (flexible/asynchronous)
Payment: Paid weekly or bi-weekly via Wise / EasyPay
HOW TO APPLY:
Please reply with the following details:
1. Subject Line: Start your application with "Senior QBO Specialist - Joe Strbik".
2. Bookkeeping Experience: Briefly summarize your experience with multi-account QBO catch-ups, Melio clearing, and fixing broken vendor accounts (like Sherwin-Williams).
3. QBO Certifications: Include links to your resume and any QuickBooks or accounting credentials.
4. Secondary Skills: Do you have any experience with CapCut, Publer, or Canva? (It’s completely fine if you don’t—just let us know!)
5. Short Video Intro: Send a 1–2 minute video or Loom link introducing yourself, your background in bookkeeping, and your current weekly availability.
