Senior Hospitality Bookkeeper (Xero Australian Accounting)

We are Roger Financial, a specialist hospitality accounting firm working with Australian restaurants, cafes, bars and hospitality groups.

We handle bookkeeping, payroll, supplier administration, accounts payable, reconciliations and reporting, and we give our clients weekly P&L dashboards, budget vs actual reporting, expense breakdowns, KPI trends and GST visibility.

Our goal is to provide value to our clients in 3 ways:
1) We save them time
2) We keep them compliant with the ATO
3) We provide them with real insight into the performance of their business every week.

We are growing fast. Three months ago we had two clients. Today we have fourteen. This is a real chance to grow with us and step into a leadership role as we scale.

We just had our part-time bookkeeper leave us as they found our growth too overwhelming. We want someone who wants to stay with us for years & end up leading a team of bookkeepers inside 12 months.

HOW ARE WE GROWING SO FAST?

Here is what makes us different. We are half the cost of regular bookkeeping firms because AI is embedded in our business. We use Claude Code & Lovable heavily, with our bookkeepers expected to integrate this within their practice. You must be tech-savvy, AI friendly & serious about being on the forefront of bookkeeping.

While many firms have a 1:5 bookkeeper to client ratio, we aim for 1:15. We pay well, and are really lovely, BUT you must be efficient & on the ball.

This is a full-time and exclusive position. You work for Roger Financial only. Please do not try to juggle this job with another, it will be very obvious & it'll be a waste of both of our time.
We are looking for someone who wants this to be their career and takes it seriously.

WHO WE ARE LOOKING FOR

3 things that matter most to us are simple.

1) You must be an excellent bookkeeper, fast & familiar with Australian bookkeeping & Xero (!!).
You must know how to do double entry bookkeeping, reconcile sales invoices against bank transactions in clearing accounts etc. Please do not apply unless you have at least 5 years experience (unless you absolutely tick other boxes). You also need to be tech and AI enabled. You want to use AI in your work, you are excited by it rather than threatened by it, and you are always looking for a faster and cleaner way to do things.

2) You must have real Australian hospitality bookkeeping experience. You must know how to reconcile sales & Lightspeed invoices against bank transactions in clearing accounts (!!)
If you have not done hospitality books for Australian businesses, this is not the right role for you. Our clients love us because we don't just "do their books". We actually act as a partner for them, they trust us to tell them how they're going, is their COGS ratio too high, is their revenue supporting a healthy rent ratio etc. You need to understand hospitality bookkeeping. You must know how to reconcile sales & Lightspeed invoices against bank transactions in clearing accounts (!!)

3) We need a genuinely strong communicator who wants to be a leader of a team (!!).
You are confident, you have personality, you are not shy, and you are comfortable talking directly to clients and one day leading a team. As we grow, this role will turn into a Bookkeeping Team Leader position managing other bookkeepers, so we want someone who thinks about how to make the whole team better, not just their own desk.

WHAT YOU WILL DO

- Review and approve AI-categorised bills and invoices in Xero. The AI does the first draft, you check it, correct it and make it better.
- Reconcile bank feeds, credit cards, merchant facilities and payment platforms in Xero.
- Reconcile Square and Lightspeed sales back to bank settlements, netting off fees and clearing accounts correctly. This is a big part of hospitality work and needs to be second nature.
- Reconcile delivery platforms like Uber Eats and DoorDash to Xero.
- Process supplier invoices through Hubdoc and Dext where needed.
- Complete weekly supplier statement reconciliations and manage accounts payable, including preparing weekly ABA batch files.
- Process payroll in Xero, including payslips, STP, super and PAYG.
- Keep clean, BAS-ready books that are fully reconciled ahead of each quarter.
- Prepare weekly P&L and reporting, and communicate it directly to your clients with useful commentary.
- Own your client relationships. Own the work. You will have to chase suppliers constantly etc when onboarding clients.
- Record your processes in Loom and build workflows the rest of the team will follow. If you do something more than once, we want it documented.

MUST-HAVE REQUIREMENTS

- Australian Hospitality bookkeeping experience. This is non-negotiable.
- At least 5 years of Australian bookkeeping or accounting experience, working with Australian companies.
- Strong Xero. You need to be genuinely expert here, not just familiar.
- Confident with the Australian hospitality software stack: Square, Lightspeed, Lightyear, Deputy, Tanda, Hubdoc and Dext.
- Square and Lightspeed reconciliation especially.
- BAS-ready bookkeeping with correct GST coding.
- A strong communicator with real personality. Confident on client calls and emails, not shy, and ready to lead a team.
- Tech and AI enabled. You want AI to be part of how you work.
- Full-time and exclusive. You are not working another job or running side clients. You are all in on this one.
- Degree in accounting or a related field.

HOSPITALITY KNOWLEDGE

You should understand, or be very keen to learn fast:
Cost of goods and what healthy food and beverage cost percentages look like (target 28 to 32%).
Labour cost percentage and what is acceptable (target 28 to 32%).
Prime cost, which is COGS plus labour, and why 60% is the line that matters.
Rent percentage benchmarks.
Square and Lightspeed POS reconciliation, matching sales reports to bank settlements and platform fees.
Clearing account reconciliation and how sales, fees and settlements net to zero.
Delivery platform reconciliation for Uber Eats, DoorDash and similar.

ROLE DETAILS

Full-time, 40 hours per week.
Working hours align with Australian business hours. 8am - 4pm PHT (10am - 6pm AEST). Do NOT work multiple jobs.
Fast-growing firm with real room to grow. This role is intended to become a Bookkeeping Team Leader position managing junior bookkeepers as we scale.
