The Role: Be the Director’s right hand across multiple entities. Own communication, calendar control, follow?through, and operating rhythm. This is a full?time, exclusive role (no other clients) aligned to Perth (AWST) hours with regular after?hours responsiveness (the Director is online across extended hours; fast?response expectations apply).
Key Responsibilities Business
• Manage 5 inboxes, 2 of which will be priority (triage, flagging, replies, clean?up, templates)
• Calendar control (protect focus time; schedule internal/external meetings)
• Track and follow up progress across Admin, Ops, Trade Leads; close loops
• Build & maintain SOPs, shared drives, naming conventions
• Draft professional
• Prepare weekly reports (timesheets, jobs, utilization, actions)
• Maintain the strategic rollout checklist in Asana/M365
Personal
• Reconciliations & expense entries (receipts/invoices)
• LinkedIn content drafting/posting + monitoring across profiles
• Create/maintain project accountability in Asana (or M365)
• Coordinate appointments (vehicle, client, medical, personal)
• Reminders and follow?ups; occasional online purchases/errands
Must Haves
• Can-do attitude, ability to work under pressure and multi-tasking
AU exposure: 2+ years supporting Australian executives/teams (or 3+ years EA experience with ?1 role of 12+ months)
• Large or multi?entity experience; fast prioritization & multitasking
• Tool mastery (daily use): Microsoft 365 (Outlook/Excel/PowerPoint), OneDrive, Asana, Xero, Canva, Gmail/Google Drive,
• Exceptional English (written & spoken), executive?level tone
• Able to protect the Director’s time, work unsupervised, close loops
• Exclusive to us (no other clients/jobs)
• Comfortable with extended availability and fast?response expectations; proactive communication of workload and breaks
• Hardware & internet ready: 3?screen setup, 16GB RAM+, reliable PC; ?50/20 Mbps (min 25/10) with backup internet/power plan
Nice to Have
• Trades/services familiarity (plumbing/electrical/maintenance)
• Proven CEO/Director inbox + calendar ownership
• AU etiquette, GST basics, and time?zone comfort
Hours & Benefits Full?time, long?term. AWST (Perth) alignment with extended availability for rapid responses across an ~18?hour window (pre?planned).
• Core coverage: 7:30 AM–4:30 PM AWST (Mon–Fri).
• Additional early/late windows scheduled in advance (e.g., 6:00–8:30 AM and/or 6:00–10:00 PM AWST).
• Response SLAs during coverage: Urgent 15 min; High 30 min; Routine 2 hrs.
Compensation: ?70,000–?85,000/month + 13th month + performance bonuses. Direct access to the Director; fast decisions; growth in systems/ops/leadership.

Can you cover AWST core hours and maintain fast responses across extended availability windows (Director online ~18 hours/day)?
