A leading international apparel and headwear brand is hiring an experienced Customer Operations Specialist for its wholesale customer-service team.
You'll own wholesale orders from receipt to delivery in SAP, keep customers informed, and work with sales, logistics, warehouse and finance so every order is accurate and on time. This is a senior role. We want someone who takes ownership, builds their own reports, and can guide or back up others in the team.
What you'll do
- Enter, change and manage wholesale customer orders in SAP, from order entry through delivery and invoicing
- Process and monitor EDI orders, and fix failed or rejected transactions
- Track open orders, deliveries, backorders and stock delays
- Build and maintain open-order and delivery-status reports in Excel
- Update wholesale customers on orders and deliveries before issues become problems
- Resolve order discrepancies, short shipments, damaged goods and delivery issues
- Provide invoices, PODs and order acknowledgements
- Process returns in line with company policy
- Handle product, pricing and account enquiries, and troubleshoot B2B platform issues
- Work closely with sales, sourcing, logistics, warehouse and finance
- Support and train other team members on processes and systems
- Help with eCommerce order enquiries when needed
Must-haves
- Fluent spoken and written English (non-negotiable)
- 3+ years in order processing, customer operations or wholesale customer service
- Hands-on SAP sales order processing: order entry and changes, deliveries, billing and invoicing. Warehouse-only or inventory-only SAP experience is not enough
- Advanced Excel: XLOOKUP/VLOOKUP, pivot tables, and building open-order and delivery reports
- Experience in wholesale, retail, FMCG, fashion or distribution
- Organised, detail-focused and proactive, and able to manage multiple deadlines without being chased
- Able to work Mon–Fri, 9:00am–5:00pm AET, consistently
Strongly preferred
- EDI order management (receiving, monitoring and fixing EDI orders)
- Experience leading, training or acting as backup for a small team
- Apparel, footwear or headwear industry experience
Performance expectations
- 97% or better order accuracy
- Orders entered within 48 hours of receipt
- Enquiries answered within 24 hours
- Delivery delays communicated before the due date
- Warehouse amendments handled promptly
- Full ownership of issues from start to resolution
