Role Overview
We are seeking a HubSpot Sales Operations & Pipeline Manager to take ownership of our CRM structure as well as assist in our marketing efforts.
You will be responsible for auditing, rebuilding, and maintaining our HubSpot sales system. Your mission is to ensure every open deal has a clear next step, accurate stage placement, and consistent follow-up execution.
You will report and work directly with the Sales Manager and will have authority to improve and restructure our current system where needed.
Phase 1: Audit & Rebuild (First 30–45 Days)
Audit current HubSpot pipeline structure
Redefine deal stages and probabilities
Clean and organize existing open deals
Implement structured follow-up cadence
Create aging reports and pipeline health dashboards
Establish “Next Activity Required” discipline
Improve automation logic where appropriate
You will propose improvements. Leadership will approve direction. You will implement.
Ongoing Responsibilities
Pipeline Ownership
Communication with tea
Ensure 100% of open deals have scheduled next activity
Monitor deal aging and enforce movement
Close out stale or dead deals based on defined criteria
Maintain clean and accurate pipeline data
Follow-Up Execution
Send structured follow-up
Log all communication inside HubSpot
Flag high-value or objection-based responses for escalation
Ensure no estimate goes untouched
Reporting & Visibility
Maintain weekly pipeline aging report
Track deal velocity and stage conversion
Provide 90-day revenue outlook based on realistic data
Prepare sales health summary for leadership meetings
Required Qualifications
Strong HubSpot experience (workflows, automation, reporting required)
Experience managing sales pipelines
Comfortable building and restructuring CRM systems
Strong written English (client-facing follow-up communication)
Highly organized and detail-oriented
Self-directed and confident making system recommendations
Comfortable working in a growing, evolving environment
Work Structure
Part-time (20–25 hrs/week to start)
Minimal Pacific Time overlap required
Weekly strategy meeting with Sales Manager
