Sales Operations Associate
Overview
We are seeking a meticulous and adaptable Sales Operations Associates to assist the Sales Account
Managers and control the end-to-end sales order process. In this role, you will create sales quotes and
process sales orders, procure and manage the orders, and provide customer service. The Sales Operations Associate is responsible for working closely with all areas of our organization to help
customers worldwide. Sales Operations Associates is a demanding role that is fast paced, requires
attention to detail, proactive behavior, and a professional demeanor. Focuses on building strong relationships with our customers, suppliers, and all internal teams and ensures our orders are processed accurately and timely.
To ensure success, Sales Operations Associates should have experience in a sales and/or customer
service environment, understand sales performance metrics, and excellent communication skills.
Responsibilities
? Support end-to-end sales activities and coordinate between Sales, Order Management, and Accounting Teams for all quote-to-order functions including:
? Creating sales quotes.
? Receiving and processing purchase orders.
? Entering and updating information in ERP.
? Verifying orders, including customers' contact information and payment details.
? Managing the orders from procurement to fulfillment
? Process upgrades, change orders, returns, refunds, order status inquiries, renewals, and discrepancy resolution.
? Act as a stakeholder in regards to orders, refunds, renewals, order status updates, all while interacting with customers via phone and
? Facilitate the supplier registration, purchase order setup, and account management
? Collaborate and communicate effectively with essential parties to drive efficient and accurate order processing, reporting, subscription renewals, and revenue recognition
? Partner with Finance to ensure order integrity to drive accurate billings and collections
? Advocate for customers’ needs by adapting complex processes, while also understanding downstream impacts
? Field incoming calls, chats, and
? Record customer communications and activities accurately and thoroughly in various internal systems, including Salesforce, Slack, and
? Contribute to ongoing process and workflow improvements
? Proactively builds trusting internal and external relationships. Can effectively communicate within all levels with the company, the customer, and vendor
? Support the sales department with other administrative tasks as needed.
Requirements
? At least 3 years experience in an administrative role supporting sales and/or customer service
? 1-2 years of order management experience
? Proficient with MS Office (Excel, Word) and Google Suite applications
? Experience with ERP systems (NetSuite preferred)
? Familiarity with sales reports and sales records.
? Exceptional interpersonal and customer service skills.
? Excellent written and verbal communication skills.
? Detail-oriented, quick learner, and proactive individual with strong organization skills
? Ability to effectively prioritize tasks and meet deadlines within a fast-paced environment.
? Resourceful, self-starter with the ability to adapt quickly to changing environment
? Strong work ethic and positive attitude.
