Sales Coordinator (Construction & Outdoor Living)
We are seeking a detail-oriented, proactive Sales Coordinator to serve as the backbone of our sales department. In this role, you will bridge the gap between our field sales team and our clients, ensuring that every project starts with a precise quote and a seamless communication experience.
The ideal candidate has a "measure twice, cut once" mindset and thrives in the fast-paced environment of the construction or home improvement industry. Looking for a "plug and play" type of candidate.
Key Responsibilities
1. Quote Creation & Estimating Support
Transform field measurements and design sketches into professional, accurate quotes.
Liaise with the technical team to confirm material costs (e.g., aluminum extrusions, motorized components).
Ensure all quotes comply with current pricing structures and lead-time estimates.
2. Calendar & Workflow Management
Manage the sales team’s schedule, including site visits, client consultations, and follow-up meetings.
Coordinate between sales, project managers, and installers to ensure realistic project timelines.
3. CRM & Data Integrity
Maintain and update our CRM system (e.g., Salesforce, HubSpot, or Jobber) with meticulous accuracy.
Track leads through the sales funnel, ensuring no prospect "falls through the cracks."
Generate weekly reports on sales activity, conversion rates, and pending quotes.
4. Business Correspondence
Draft and send professional
Act as the primary point of contact for client inquiries regarding quote status or scheduling.
Maintain a high standard of brand voice in all written communication.
Qualifications & Skills
English Proficiency: C2 Level (Mastery/Native-Equivalent) or higher. This role requires impeccable written and oral English to handle complex negotiations, technical documentation, and high-level business correspondence.
Industry Experience: Minimum 2 years in a coordinator or administrative role within the construction, HVAC, or outdoor living industries.
Technical Savvy: High proficiency in CRM software and Microsoft Office (specifically Excel for price calculations).
Communication: Exceptional verbal and written communication skills with a knack for professional "soft-selling" through follow-ups.
Organization: The ability to juggle multiple project folders and deadlines without losing sight of the details.
Problem-Solving: A proactive approach to identifying potential scheduling conflicts or quoting errors before they reach the client.
