JOB OVERVIEW

SYSTEMS & AUTOMATION SPECIALIST — Digital Coaching Business (Hair Industry)

This is NOT a VA role. Do not apply if you mainly manage inboxes and calendars.

I run a fast-growing digital education and coaching business in the hair industry. I have an active Skool community, digital products on Shopify, live masterclasses, email funnels, and a custom AI platform. Things move fast here. I need someone who can keep up and build systems that run without me.

You will own the backend. That means:

• Building and managing automation workflows (ConvertKit, Zapier, ManyChat)
• Setting up and maintaining funnel flows — upsells, tripwires, post-purchase sequences
• Managing product setup on Whop and Shopify (links, checkout, confirmations)
• Preparing and testing all backend systems before launches so nothing breaks
• Supporting live masterclasses and ensuring tech runs smooth on the day
• Setting up SMS reminders and automations once systems are live
• Keeping operations organised, documented, and running without me chasing

Tools we use: ConvertKit, Zapier, ManyChat, Skool, GHL, Whop, Shopify, Lovable, Stripe

You are the right person if:
• You have hands-on experience with automation tools — not just surface level
• You've worked inside a digital coaching or course-based business before
• You think ahead and flag issues before they become problems
• You are reliable under pressure — launches are not the time to go quiet
• You can work independently and don't need to be micromanaged

This is not for you if:
• You've only done general admin or social media scheduling
• You need constant direction to get tasks done
• You've never built a funnel or set up an automation from scratch

Role structure:
• Part-time — 25 hours per week
Trial starts at $600/month. After 60 days, pay increases based on your performance and results. This role grows with the business, meaning so does your income.

2. Proof of experience working inside a digital business — coaching, courses, memberships.... etc
3. A portfolio with your work, client results, feedback, or testimonials
