About the Role
Hunter Recruitment Advisors runs on a connected stack of recruiting, sales, finance, and communication systems. We're looking for a Systems & Reporting Operations Analyst to own that stack end-to-end — keeping every system clean and current, producing the reporting that tells us what's really happening in the business, and using Claude AI to turn raw system data into clear, plain-language insight. What You'll Do
Keep the Systems Running
● Administer our core systems — ATS, Pipedrive, Indeed, Zoom, Base44 Dashboards, Claude.ai and Jeanie AI — including configuration, user setup, field consistency, and deduplication.
● Pull financial reports from QuickBooks (read-only) for reporting.
● Own data integrity across every system: consistent naming, clean pipelines, and no stale or duplicate records. Great reporting starts with clean data.
● Document how each system is configured and how each report is built, so the work is transparent and transferable.
Deliver the Reporting
Produce a standard reporting package on a fixed cadence (weekly and monthly), delivered through PowerBI dashboards and clear written summaries. The four areas you'll report on:
1. Recruiting trends Pipeline health, time-to-fill, req aging, placement volume, and source effectiveness
2. Financials Revenue, P&L, and budget vs. actual
3. Zoom activity Meeting and call volume, recording activity, and rep activity levels
4. Jeanie AI Percentage of calls completed overall and by client
Build with Claude AI
● Design scheduled reporting — recurring Claude tasks that run automatically on a cadence, pull from connected systems, and deliver each report, with approval steps for anything client-facing.
● Build agents and automations, from reusable setups that behave consistently, to multi-step workflows, to scheduled automations that run and take action — always choosing the simplest approach that solves the problem.
● Run a standard library of Claude analyses that turn each reporting area's data into plain-language insight, trend commentary, and anomaly flags.
● Connect our systems through connectors with disciplined, least-privilege access.
● Administer Claude for the team — shared setups, sensible defaults, access governance, and helping colleagues use Claude well in their own work.
● Build reporting and automation with logging and alerting, so a failure never goes unnoticed.
Solve the Right Problem
● When someone asks for a report, dashboard, or automation, dig into the real need first — separate the stated request from the underlying problem, and build the right tool, not just the requested one.
● Communicate clearly and proactively across time zones, and flag blockers early rather than letting work slip quietly.
What We're Looking For
● Hands-on administration experience with a recruiting or sales stack — an ATS and a CRM (Pipedrive or similar) are essential; Indeed, Zoom, and AI-calling tools are strong pluses.
● Demonstrated reporting and dashboarding experience, ideally in PowerBI.
● Comfort pulling and reading financial reports (QuickBooks or similar).
● Working fluency with Claude or comparable AI tools for analysis and automation — or clear, demonstrated ability to learn fast.
● A consultative instinct: the ability to take a vague ask, understand the real need, and land on the right solution.
● Strong written English and reliable, proactive communication across time zones.
● Meticulous attention to data accuracy and a genuine intolerance for messy data.
● RPO or staffing-industry experience is a significant plus.
