About the Role
We are seeking a sharp, highly methodical Part-Time SOP & Process Documentation Specialist to take full ownership of our internal knowledge architecture and operational playbooks.
Our company operates on an active Waybook workspace. We have clear operational departments—including Dispatch & Route Optimization, Motor Pool & Fleet Inspections, Driver Onboarding & Compliance, and Administrative Workflows—and we need a systemization professional to bridge raw field execution with structured, scalable documentation.
You will not just be writing text; you will be mapping processes, interviewing department leads, establishing testing/quiz completion gates, and building a single source of operational truth.
Key Responsibilities
Waybook Workspace Management: Architect, organize, and maintain our active Waybook platform—structuring Subjects, Categories, Modules, and Documents into a logical, easily navigable hierarchy.
Process Mapping & Workflow Capture: Interview key department heads (Lead Dispatcher, Mechanic, Fleet Coordinators, Compliance Leads) to extract daily operational workflows and convert them into clear, step-by-step SOPs.
Content Creation & Visual Clarity: Write precise, clear, and unambiguous standard operating procedures. Incorporate visual aids, decision trees, workflow diagrams, and screenshots to ensure maximum readability for field personnel and office staff.
Accountability & Training Paths: Build trackable onboarding paths, knowledge-check quizzes, and completion gates inside Waybook to ensure staff and drivers are tested and held accountable to operational standards.
Process Auditing & Continuous Improvement: Regularly review and update documentation as tools, software (Fleetio, CRM systems, dispatch software), and state regulatory requirements evolve. Eliminate duplicate, outdated, or conflicting guidelines.
Terminology & Asset Consistency: Enforce standardized terminology and documentation conventions across all company assets, policies, and operational manuals.
Qualifications & Requirements
Proven Experience in SOP/Process Documentation: 3+ years writing, organizing, and auditing operational manuals, standard operating procedures, and training frameworks.
Platform Proficiency: Direct hands-on experience using Waybook (or comparable systems like Trainual, SweetProcess, Notion, or Process Street).
Information Architecture Skills: Ability to organize complex, multi-departmental information so that end-users (from drivers to managers) can find answers in seconds.
Interview & Extraction Skills: Exceptional interpersonal skills to extract raw, unorganized knowledge from busy subject-matter experts and translate it into structured procedures.
High Detail Orientation & Compliance Mindset: Meticulous approach to grammar, formatting, step ordering, and logical consistency.
Experience in Transportation, Logistics, or Fleet Operations is a strong plus, though not required.

Hours: Approximately 15–20 hours per week (Flexible schedule with clear weekly deliverables).
