About the Role
We are looking for a highly capable SOP & Operations Systems Specialist to review, improve, and help structure the way processes are documented and managed across the business.
This is not just a writing role. We want someone who can look at how a business actually operates, identify how SOPs connect across teams and functions, assess where information is stored and how it is accessed, and help create a clearer operating structure that is easier to use, train, maintain, and improve.
You will play a key role in reviewing current systems, documenting operational workflows, improving the structure of our SOP library, and helping create stronger links between process creation, training, usage, testing, and team capability.
The right person will be methodical, highly organised, commercially aware, and able to turn messy or inconsistent workflows into practical documentation that supports better execution.
Key Responsibilities
SOP development
Work with business owners, department leads, and key stakeholders to identify where SOPs are required and create clear, usable documentation for recurring processes.
Process review and analysis
Review current workflows, operational structures, and documentation systems to identify gaps, duplication, inefficiencies, and opportunities for improvement.
SOP system architecture
Assess how SOPs are stored, accessed, linked, and maintained across the business, and help design a more logical and scalable structure.
Operations manual development
Support the development of a connected operations manual that improves visibility across departments and clarifies how different business functions work together.
Implementation and rollout
Help introduce and embed new SOPs, ensuring documentation is practical, easy to follow, and usable by the teams responsible for execution.
Training and knowledge transfer
Develop supporting materials, checklists, guides, and documentation that help tea
Testing and process validation
Help review whether SOPs are being followed, understood, and applied correctly, and support the testing of team capability across documented workflows.
Continuous improvement
Regularly review and refine SOPs as processes evolve, and identify opportunities to improve consistency, reduce friction, and increase operational efficiency.
Compliance and quality support
Ensure documentation is accurate, clear, and aligned with quality expectations, while supporting stronger process discipline across the business.
What We’re Looking For
Proven experience developing, implementing, and improving SOPs, process documentation, or operations manuals
Strong ability to review business workflows and translate them into clear, structured documentation
Experience organising documentation systems so processes are easy to find, follow, maintain, and improve
Strong analytical and problem-solving skills
Excellent written English and the ability to simplify complex processes clearly
High attention to detail, structure, and consistency
Confidence working across multiple departments, stakeholders, or business functions
Strong organisational and project management skills
Familiarity with process mapping, workflow diagrams, or systems documentation tools
Ability to work independently and manage multiple documentation priorities
Preferred
Experience supporting service businesses, eCommerce businesses, operational teams, or founder-led businesses
Familiarity with tools such as Asana, Notion, ClickUp, Google Docs, Loom, L
Experience with knowledge management, internal training systems, or process governance
Understanding of how SOPs support scale, reduce founder dependency, and improve delivery quality
Bachelor’s degree in Business, Operations Management, or a related field preferred

Are you comfortable using Hubstaff time tracking? Our whole team operates remotely, including our field and admin staff in Australia. Hubstaff helps us understand time allocation across projects, improve internal reporting, and provide clearer updates to clients.
4) Working hours / availability
Can you commit to the required hours? Our standard workdays are Monday to Friday, generally within 9:00am–5:00pm (Philippines time). We offer reasonable flexibility — family and life come first — but we do need consistency and clear communication.
