JOB DESCRIPTION:
Shop Marketing Pros is seeking a proactive and highly organized SEO Admin Assistant to support the SEO department in executing and managing monthly client deliverables.

This role plays an important part in keeping our SEO operations organized, on track, and moving forward. You’ll work closely with the SEO Director, SEO Specialists, and Client Success Managers (CSMs) to help ensure deliverables are created, assigned, tracked, and completed accurately and on time.

The ideal candidate is comfortable following structured processes while also stepping back to understand how everything connects. You take pride in your work, stay organized, and are naturally attentive to details. You’re also open to sharing ideas, asking questions, and contributing to improvements that help the team operate more efficiently.

WHAT SUCCESS LOOKS LIKE IN THIS ROLE:
Monthly SEO deliverables are fully built out, assigned, and consistently moving forward in ClickUp
Nothing falls through the cracks—deadlines are tracked, and delays are addressed early
Client approvals and communications are handled efficiently and accurately
Internal systems (ClickUp, AgencyAnalytics, notes, tracking sheets) are always organized and up to date
SEO Specialists and CSMs have what they need to complete their work without delays
Workflow gaps or inefficiencies are identified and improved proactively
The SEO team feels supported not just with tasks, but with execution and organization


REQUIRED SKILLS:
The ideal SEO Admin Assistant is someone who:
Is extremely organized and detail-oriented
Has a strong sense of ownership and accountability
Is a self-starter who does not wait to be told what to do next
Can follow structured processes while also identifying ways to improve them
Is confident communicating ideas, asking questions, and suggesting better ways to do things
Has strong written communication skills
Can manage multiple tasks and deadlines without losing accuracy
Is comfortable working in project management systems (ClickUp or similar)
Can think both at a detailed level and a big-picture level
Remains calm under pressure and can adjust when priorities shift
Is reliable, consistent, and takes pride in doing things right

Not Required, but helpful:
Experience in administrative support, operations, or project coordination
Experience working in a marketing agency environment
Familiarity with SEO workflows or terminology
Experience with ClickUp, AgencyAnalytics, or similar platforms


JOB RESPONSIBILITIES:
Build, assign, and maintain monthly SEO deliverables within ClickUp
Track all deliverables to ensure deadlines are met, and nothing is missed
Coordinate updates between SEO Specialists, the SEO Director, and CSMs
Send blogs, Google Business Profile posts, and other content for client approval and track revisions
Manage approval workflows to keep projects moving forward efficiently
Ensure all client documentation, notes, and deliverables are accurate and organized
Monitor progress across all SEO work and flag delays or bottlenecks early
Support the SEO team by ensuring clarity, organization, and follow-through across accounts
Act as a liaison between departments to keep communication aligned
Identify workflow inefficiencies and suggest improvements
Provide regular updates to the SEO Director on project status and any issues impacting production
