About the Role: I’m a founder and trial lawyer running a growing boutique law firm and a board role, with complex deadlines and a high volume of professional commitments. I’m hiring a senior-level Executive Assistant with experience in law firms or professional-services environments who can exercise judgment, protect my time, and keep me consistently ahead of the work.
This is not entry-level administrative support. It’s a role for someone who thinks independently, prioritizes well, and anticipates what’s coming next.
Core Responsibilities:
Email
- Triage incoming
- Identify what requires my attention vs. what can be handled or drafted independently
- Extract action items, deadlines, and follow-ups, and ensure they’re captured and tracked
- Draft professional correspondence in my voice
- Maintain an inbox where urgent and time-sensitive items are immediately visible
Calendar & Deadline Management
- Own my calendar with a forward-looking mindset
- Capture deadlines from matters,
- Build appropriate prep time for hearings, mediations, meetings, and travel
- Surface conflicts early and propose solutions
- Coordinate scheduling with outside parties as needed
Professional Engagements
- Track professional commitments and invitations
- Manage RSVPs and confirmations
- Ensure calendar entries are complete and usable
- Prepare concise briefs when helpful so I arrive prepared
CRM & Relationship Follow-Ups
- Assist with selecting and implementing a CRM suitable for a professional-services practice
- Maintain accurate contact records and relationship history
- Track networking, referrals, podcast guests, and client follow-ups
- Build simple systems that ensure consistency without unnecessary complexity
Forward Planning & Weekly Reviews
- Conduct a structured weekly review of the next 30/60/90 days
- Flag deadlines, prep work, travel, and conflicts well in advance-
- Distinguish clearly between items requiring my input and those you can handle independently
- Deliver a concise weekly summary that allows quick decisions
General Operations Support
- Organize documents and files for usability
- Draft basic professional correspondence
- Coordinate vendors and service providers
- Support and improve workflows and systems
- Actively guard my time and help prioritize incoming requests
Tools & Systems
- Microsoft Outlook
- Microsoft Teams
- MyCase (case management)
- Microsoft Word & Excel
- Adobe (PDF review/editing)
- Zoom
- LexisNexis (exposure helpful, not required)
Time Zone & Schedule (IMPORTANT)
- Full-time: 40 hours per week
- This role requires substantial overlap with U.S. Central Time
- Expected live overlap: approximately 4–6 hours per day, primarily during U.S. Central Time mornings
- Typical schedule for Philippines-based candidates will fall in the evening to early-morning PH time
- Exact hours can be finalized with strong candidates, but consistent availability during overlap hours is required
Trial Period
- The first 30 days will be a paid trial period
- The trial period is designed to confirm fit, communication, and execution on both sides
- Successful completion of the trial will transition the role into an ongoing position. My hope is that this will be a long-term role with the firm as we grow.
