High-Performance Reactive Scheduling & Dispatch Role
We are looking for an experienced Scheduler to take control of the daily scheduling and dispatch operations for Plumbing Bros Corporate (Perth).
This is NOT an administration role with some scheduling responsibilities. Scheduling and dispatch must be your primary experience.
We are specifically looking for someone who has worked in plumbing, electrical, HVAC, maintenance, pest control, or another high-volume home services environment, where you have been responsible for scheduling technicians, taking customer calls, creating jobs/orders, and constantly adjusting the schedule throughout the day.
If your background is primarily general administration, data entry, customer service, or virtual assistance without substantial scheduling/dispatch experience, please do not apply.
ABOUT THE ROLE
You will be the command centre of our daily operations.
This is a fast-paced, reactive environment with a high volume of incoming calls and jobs.
You need to be comfortable doing multiple things at once:
???? Taking customer and technician calls
???? Creating orders/jobs in the system while on the phone
???? Scheduling and dispatching technicians
???? Rebuilding schedules when priorities change
???? Responding quickly to urgent jobs and changing circumstances
???? Managing technician locations, availability, and job runs
The day will not always go according to plan — and that's exactly why we need an experienced reactive Scheduler.
You must be able to think on your feet, make decisions quickly, and keep control of the schedule even when the phone is constantly ringing.
KEY RESPONSIBILITIES
Scheduling & Dispatch
Schedule and dispatch plumbers across daily job runs
Allocate jobs based on technician availability, location, skills and priority
Manage a high volume of jobs without losing control or accuracy
Monitor technician progress throughout the day
Adjust schedules in real time as jobs run over, cancel, become urgent or change priority
Minimise technician downtime and unnecessary travel
Keep technicians productive and moving throughout the day
Identify gaps in the schedule and proactively fill them
High-Volume Calls & Customer Coordination
Answer a high volume of incoming calls
Speak confidently and professionally with customers and technicians
Gather the information required to create accurate jobs/orders
Create orders/jobs while speaking with customers on the phone
Determine job urgency and prioritise appropriately
Manage customer expectations around availability and arrival times
Handle changes, cancellations and urgent requests quickly
Communicate schedule changes to technicians and customers
Reactive Operations
This is one of the most important parts of the role.
You need to be able to react immediately when the plan changes.
For example:
A plumber is running 45 minutes late ? you need to immediately assess the schedule, contact affected customers, rearrange jobs and keep the rest of the day moving.
An emergency job comes through ? you need to determine priority, identify the appropriate technician and reorganise the schedule.
A technician finishes early ? you need to identify the next suitable job and get them moving.
A customer cancels ? you need to identify how to use that newly available time.
You cannot wait for someone else to tell you what to do.
THIS ROLE REQUIRES MULTITASKING
You need to be comfortable with:

???? Communicating with technicians
???? Responding to urgent jobs
???? Reorganising the day's schedule
— all at the same time.
If you become overwhelmed when several things happen simultaneously, this role will not be a good fit.
EXPERIENCE REQUIRED
???? SCHEDULING / DISPATCH EXPERIENCE IS ESSENTIAL
Your primary professional experience must be in scheduling, dispatch, or service coordination.
We are specifically looking for candidates with experience scheduling technicians in industries such as:
???? Plumbing
? Electrical
?? HVAC / Air Conditioning
???? Home Services
????? Maintenance Services
???? Pest Control
???? Automotive / Mobile Services
Other high-volume field service businesses
Strongly Preferred
Experience scheduling plumbers or electricians
Experience in a high-volume service environment
Experience handling a high volume of inbound calls
Experience creating jobs/orders while speaking with customers
Experience dispatching technicians
Experience managing same-day and urgent jobs
Experience with Ascora is highly advantageous
Experience with other field-service/job-management software
Understanding of technician territories, travel time and job allocation

WORKING HOURS
Monday – Friday
???? 8:00 AM – 5:00 PM Perth Time
1-hour unpaid lunch break
Optional paid overtime may be available depending on workload.
