## About Apex Adjusters

Apex Adjusters is a growing public adjusting company specializing in residential property and roofing insurance claims.

We are looking for a **highly experienced Roofing Claims & Xactimate Virtual Assistant** who can take ownership of the estimating and administrative side of our claims process.

**This is NOT a general VA position. Xactimate experience is REQUIRED.**

The ideal candidate has hands-on experience creating roofing estimates in Xactimate, understands insurance claims, and is comfortable communicating directly with insurance adjusters.

## Key Responsibilities

### Xactimate Estimating — REQUIRED

* Create detailed and accurate roofing estimates using **Xactimate**.
* Build estimates based on inspection reports, roof measurements, photos, videos, and scopes of work.
* Select appropriate Xactimate line items and quantities.
* Review estimates for accuracy, completeness, and missing scope.
* Identify additional damage and necessary line items.
* Revise estimates based on adjuster feedback and additional documentation.
* Prepare and submit supplements.
* Compare carrier estimates against our estimates and identify discrepancies.
* Ensure estimates are professionally organized and properly documented.
* Make corrections and revisions independently when necessary.

### Insurance Claims

* Assist with managing residential property insurance claims from inspection through settlement.
* Prepare and organize claim documentation.
* Review inspection reports, photos, measurements, estimates, and other supporting documentation.
* Track claim status and outstanding items.
* Assist with supplements, revisions, and additional documentation.
* Maintain organized digital claim files.
* Keep accurate notes and records for every claim.

### Insurance Adjuster Communication

* Communicate directly with insurance adjusters via ** email**.
* Follow up with adjusters regarding estimates, supplements, inspections, and claim status.
* Discuss estimate discrepancies and scope differences professionally.
* Request updates on pending claims.
* Coordinate inspections and re-inspections when necessary.
* Respond to adjuster requests for additional documentation.
* Maintain professional and persistent follow-up until outstanding issues are resolved.

### Administrative & Follow-Up

* Track multiple open claims and deadlines.
* Follow up on outstanding tasks without needing constant supervision.
* Update CRM systems, spreadsheets, and claim tracking systems.
* Organize photos, reports, measurements, estimates, correspondence, and other claim documents.
* Communicate with contractors and homeowners when needed.
* Help ensure every claim continues moving forward.
* Provide general administrative support related to claims and estimating.

## REQUIRED Qualifications

**Applicants must meet the following requirements:**

* **Proficient in Xactimate — REQUIRED.**
* Demonstrated experience creating **roofing estimates in Xactimate**.
* Experience with insurance property claims.
* Experience with supplements and estimate revisions.
* Understanding of roofing terminology and construction.
* Strong written and spoken English.
* Excellent communication skills.
* Comfortable speaking directly with insurance adjusters.
* Strong attention to detail.
* Excellent organization and follow-up skills.
* Able to manage multiple claims simultaneously.
* Able to work independently with minimal supervision.
* Reliable computer and high-speed internet connection.
* Available to work during U.S. business hours.

## The Type of Person We're Looking For

You should be able to receive a claim file, review the available information, identify what needs to be done, create or revise the estimate, communicate with the adjuster, and follow up until the next step is completed.

## Xactimate Experience Verification

**Applicants may be required to complete an Xactimate skills test or provide a sample of previous estimating work.**

We are specifically looking for someone who can **independently create professional roofing estimates in Xactimate.**

## Compensation

Compensation will be based on experience and skill level.

Candidates with strong Xactimate, roofing, and insurance claims experience will be considered for higher compensation.
