Currently and honestly we’re facing some financial limitations and disorganization and we’re looking to bring a talented CPA/ Accountant/ Bookkeeper on our team to help support our efforts in gaining more funding and supporting growth in 2026.
In January of 2026 we’re expecting to onboard countless clients, reach new heights with grant funding, have events book out, sell more products, and more! This is a great role for someone to have part time while they have other clients or alongside their full time work - it compliments whatever it is that you might be building or already have!

TIMING & AVAILABILITY EXPECTATIONS
Approx. 5-8 hours per week to start (Opportunity for more hours in the future)
Initial setup and onboarding will require additional time
Opportunity for role growth based on performance, skills, and reliability
SKILLS & KNOWLEDGE
Experience and proficient using accounting software (Quickbooks for business) + Google Sheets for personal (organization, formulas, dashboards)
Strong understanding of separating personal and business finances
Detail-oriented, reliable, and able to work independently
Clear written communication and proactive follow-through
OVERVIEW OF ONGOING SUPPORT
Core Financial Support
Reconcile accounts weekly and monthly
Track income and expenses
Track profits and losses
Prepare and organize tax return documents
Track quarterly tax deadlines, send reminders, and assist with filing
Flag financial trends, inconsistencies, or concerns
Provide strategic insights related to financial health and efficiency
Assist with forecasting future income and planning major expenses
Review subscriptions regularly and recommend cost-saving or temporary-use options
Support grant research, tracking, management, and reporting
Assist with organizing and reviewing investment summaries
Event & Project Support
Build event budgets (expected revenue, venue, supplies, food, marketing, etc.)
Track event RSVPs, payments, and refunds
Log raffle basket donations and sponsor details
Track outreach to nonprofits, sanctuaries, and partners
Maintain event timelines and task checklists (deadlines, progress, completion)
Create and maintain vendor contact lists
Track inventory for event supplies and merchandise
Client, Coaching & General Support
Track session bookings, payments, and outstanding balances
Maintain structured spreadsheets for client goals and progress milestones (content provided; structure handled by you)
Organize digital products (vision board book, workbooks, etc.) and track sales
Track professional development funding resources
Maintain a list of local organizations for donations, pro bono workshops, and sanctuaries
Organize annual planning documents (goals, OKRs, income projections)
Create and maintain a centralized resource index (links, research, grants, directories, certifications)
Track personal and business subscriptions with renewal dates
FINANCIAL TRACKING & ADMIN (GOOGLE SHEETS + WAVE)
Enter and categorize transactions weekly in Wave
Reconcile bank, PayPal, and Stripe accounts in Wave
Track income by source in Google Sheets (coaching, content creation, events, affiliates, etc.)
Maintain a financial dashboard showing monthly revenue, expenses, and net income
Log upcoming expenses, renewals, and subscriptions with due dates
Maintain a running list of deductible business expenses
Track tax-deductible mileage, meals, supplies, and travel
Create a Year-at-a-Glance financial summary for tax preparation
Flag missing receipts or unclear transactions
ONBOARDING PROCESS
Connect accounts and systems
Share access credentials securely
Upload past statements, receipts, and records
Walk through tools, spreadsheets, and workflows
Review deadlines, communication, and expectations

PAYMENT DETAILS
Payments via OnlineJobs.ph PayPal
Paydays are the 2nd and 4th Fridays of each month
If a holiday falls on payday, payment will be sent the following Monday
Monitask is required for time tracking
