City Beauty is seeking a detail-oriented and highly organized Retail Operations Assistant to support the Director of Supply Chain with retail order management, inventory planning, EDI processing, reporting, and day-to-day retail operations.
This role is responsible for ensuring the accurate and timely processing of retailer and distributor orders, maintaining inventory and pricing data, coordinating with warehouses and retail partners, and preparing operational reports that support successful order fulfillment. The ideal candidate enjoys working with data and systems, is highly organized, and can effectively manage multiple priorities while collaborating across internal teams, warehouses, and external retail partners in a fast-paced environment.
Key Responsibilities:
Inventory Management:
Assist with monitoring finished goods inventory levels across all warehouse locations.
Review & update inventory reports and identify SKUs requiring replenishment.
Coordinate SKU setup, including item creation, BOMs, UPCs, and item groups.
Coordinate internally & with warehouse to troubleshoot any SKU or system issues.
Enter warehouse work orders for product assembly and inventory conversions.
Purchase Order & Retail Support:
Manage the processing of all manual retail/distributor orders received for domestic and international orders to ensure timely fulfillment and invoicing.
Manage EDI order processing for all retail partners through various platforms (i.e. NetSuite, SPS Commerce, etc.) This includes processing of:
- Order acknowledgements
- Sales orders
- Case labels
- Invoice submissions
- Warehouse work orders
- Transfer orders
Review retailer/distributor packaging requirements and specifications documents to ensure that proper direction is provided to the warehouse team for fulfillment.
Maintain retailer/distributor pricing information on individual accounts, and/or at the SKU level in the NetSuite system. Providing documentation to our Finance team to support accurate and timely payment collections for invoices and month end reconciliations.
Review sales data and any additional promotional planning information to ensure that sufficient inventory is available, and make order recommendations to the Director of Supply Chain for any additional manufacturing requirements.
Reporting & Administrative Support:
Create, maintain, and distribute recurring supply chain reports, including:
- Open Sales Orders for retailers/distributors
- Inventory Reports
- Replenishment Status
- Vendor Tracking
- Other operational reporting as needed
Maintain inventory planning spreadsheets and supply chain documentation.
Support retailer/distributor fulfillment tracking and reporting.
Maintain supply chain databases and filing systems.
Cross-Functional Support:
Serve as a liaison between suppliers, warehouses, transportation providers, and internal teams.
Support Product Development and Marketing by providing inventory and production updates for launches and promotions.
Collaborate with QA and Regulatory teams to support product release timelines.
Assist with onboarding documentation for new retail partners and distributors.
Support Finance team with invoice collection, disputes, and other order support inquiries.
Process Support:
Assist in maintaining Standard Operating Procedures (SOPs) and identify process documentation updates when needed.
Support retailer/distributor scorecard reporting and KPI tracking.
Assist with maintaining product cost databases and supplier pricing updates.
Requirements
Working in PDT/ PST (8a-4p or 9a-5p pacific)
High school diploma or general education degree (GED); or one to two years related experience and/or training preferred; or equivalent combination of education and experience.
Experience working in a manufacturing environment preferred
Experience with Microsoft Office & Google Suite programs required
Experience with ERP systems preferred
Salary - $800-$1000 USD Monthly, DOE
