Residential Real Estate Legal Assistant (Part-Time, Remote)
Schedule:
• Part-time: 20 to 25 hours per week
• Must overlap with U.S. Central Time
Compensation:
• Based on experience
• Initial 60-day trial: US$6/hour
• Compensation may be reviewed after the trial period based on performance, reliability, experience, and overall fit.
About the Role:
We are a U.S.-based real estate law firm seeking a detail-oriented, organized, and proactive legal assistant to support residential real estate transactions from contract to closing.
This is NOT a brokerage transaction coordinator, listing coordinator, lead management, cold-calling, or general real estate VA position.
A functional, Windows operating system computer is required for this role.
We're looking for someone who understands real estate transactions and can work in a legal environment, including:
• Attorney review
• Inspection deadlines
• Title coordination
• Lender coordination
• Closing preparation
• Client communication
• Document organization
• Attorney escalation
Key Responsibilities
• Open and set up new real estate matters
• Review contracts and
• Enter and update client, agent, lender, attorney, and title company information
• Track deadlines, key dates, and missing information
• Coordinate with agents, lenders, title companies, attorneys, and clients
• Prepare standard documents and
• Organize
• Follow up on outstanding items
• Prepare files for attorney review
• Flag unusual, urgent, or non-standard issues
• Assist with closing preparation and post-closing follow-up
• Maintain accurate task lists and matter status
Preferred Experience:
Strong candidates will have experience with some of the following:
• U.S. residential real estate transactions
• Contract-to-closing coordination
• Buyer and/or seller transactions
• Real estate law firms
• Transaction coordination
• Title companies, escrow, or mortgage support
• Attorney review
• Inspection deadlines
• Lender coordination
• Title coordination
• HOA or condominium document requests
• Closing preparation
• Settlement statements
• Real estate document organization
Illinois residential real estate experience is a plus but is not required.
Tools
Experience with these tools is helpful but not required:
• Microsoft Outlook

• Smokeball, Clio, Odoo, or similar practice management software
• Adobe Acrobat
• Electronic signature platforms
• Real estate transaction management systems
You do not need experience with every system. You must be comfortable learning new software and following detailed procedures.

• Your experience is primarily listing coordination, lead generation, CRM management, cold calling, social media, or general VA work.
• You have not supported U.S. residential real estate transactions from contract to closing.
• You prefer repetitive work that requires little judgment.
• You struggle following detailed written processes.
• You are uncomfortable reviewing contracts,
• You are looking for a marketing or administrative assistant position rather than legal support.
Important Expectation: This position requires initiative, judgment, and context.
The strongest legal assistants don't simply complete assigned tasks. They continually assess the overall status of each file, anticipate what comes next, identify missing information, and recognize when attorney involvement is needed.
You will not provide legal advice.
You will be expected to recognize issues that should be escalated.
