About Us
We are a busy multi-service veterinary practice in Bermuda, providing veterinary care, boarding, grooming, and daycare. Our clinical veterinary team consists of 2 vets and 2 nurses and is committed to high-quality, compassionate care for pets.
We are seeking a Remote Veterinary Surgery & Client Care Coordinator to streamline our surgical bookings, work-ups, appointments and client follow-ups, helping us fill appointment slots efficiently while improving the client experience.
Key Responsibilities
• Proactively schedule surgeries, procedures, diagnostics, consultations, annual checkups and follow-up appointments in the clinic’s veterinary software program (Avimark)
• Manage estimates and pending procedures, contacting clients to book recommended care
• Coordinate recalls for annual exams, dental care, and senior screenings
• Track and refill cancellations and emergency slots promptly
• Maintain an up-to-date appointment tracker and reporting dashboard
• Ensure smooth communication with clients via phone,
• Collaborate with the on-site reception and veterinary team to optimize scheduling
Required Skills & Experience
• Veterinary background preferred (veterinarian, veterinary nurse, assistant, or similar)
• Strong English communication skills (written and spoken)
• Organized, detail-oriented, and proactive
• Comfortable using Avimark or similar practice management software
• Ability to work independently and meet deadlines
• Previous remote work experience is an advantage
Key Performance Indicators (KPIs)
• Surgery slot utilisation: 85–90% target
• Tier 1 estimate follow-up: 100% completed
• Tier 2 conversion: 60–75%
• Recalls scheduled: 50–70%
