We are a growing UK letting agency looking for a reliable, organised and proactive Property Administrator to join our remote team. This role is ideal for someone who enjoys administration, customer service and working in a fast-paced environment.
You will play an important role in supporting the day-to-day running of our business by handling enquiries, booking appointments, coordinating property compliance, processing invoices and providing excellent support to landlords, tenants and contractors.
Key Responsibilities
Customer Service & Communication
- Answer phone calls professionally and direct enquiries as appropriate.
- Respond to
- Provide updates regarding maintenance, compliance and tenancy matters.
- Deliver friendly, professional and efficient customer service.
Appointment Coordination
- Schedule and confirm property inspections, compliance appointments and maintenance visits.
- Coordinate appointment times between landlords, tenants and contractors.
- Send appointment confirmations and reminders.
Property Compliance
- Monitor upcoming compliance deadlines.
- Arrange and track:
* Gas Safety Certificates
* Electrical Installation Condition Reports (EICR)
* Energy Performance Certificates (EPC)
* Follow up with contractors to ensure inspections and reports are completed on time.
* Keep compliance records accurate and well organised.
Administration & Invoicing
- Prepare and issue invoices.
- Check contractor invoices for accuracy.
- Maintain organised digital files and property records.
- Update internal spreadsheets and administrative records.
- Prepare documents and assist with general office administration.
- Support the management team with ad hoc administrative tasks.
Maintenance Coordination
- Log maintenance requests from tenants and landlords.
- Arrange contractors to attend repair appointments.
- Monitor the progress of maintenance jobs.
- Follow up with contractors and customers until work is completed.
- Keep accurate records of completed repairs and ongoing maintenance.
Skills & Experience
We’re looking for someone who:
- Has previous experience in administration, customer service or virtual assistance.
- Has excellent written and spoken English.
- Is confident answering phone calls and communicating with customers.
- Has strong organisational and time management skills.
- Has excellent attention to detail.
- Can work independently and manage multiple priorities.
- Is comfortable using Microsoft Office, Google Workspace and other online business tools.
- Previous experience within a UK letting agency, property management or maintenance company would be an advantage, but full training will be provided to the right candidate.
Working Hours
- Fully remote position.
- Part-time or full-time opportunities available.
- Some overlap with UK business hours is required.
