Role Overview
As our Part-Time Remote Office Manager, you'll be the behind-the-scenes coordinator who ensures our NYC office is well-stocked, our team events run seamlessly, and our executives can focus on what matters most. This role requires someone who is detail-oriented, comfortable working independently across time zones, and skilled at managing vendors and logistics remotely.
Key Responsibilities
-Keep the office stocked with food, beverages, and supplies by coordinating with vendors and managing deliveries
-Track inventory levels and anticipate needs based on in-office schedules
-Manage relationships with office suppliers and service providers
-Coordinate with building management as needed for facilities matters
-Maintain organized records of vendors, procedures, and office preferences
-Order and coordinate monthly team lunches and breakfasts
-Help plan and coordinate monthly happy hours (venue research, reservations, logistics)
-Send reminders and handle RSVPs for recurring team events
-Research and suggest new venues, caterers, or event ideas
-Book executive travel including flights, hotels, and ground transportation
-Register tea
-Prepare travel itineraries and confirmations
-Track travel-related expenses and receipts
-Help manage shared calendars and schedule meetings across time zones (NYC, Shanghai, Philippines)
-Assist with onboarding logistics for new hires as needed
-Track and reconcile office-related expenses
-Handle ad hoc administrative tasks as they arise
Requirements
-Fluent in English (written and verbal)
-Reliable internet connection and a quiet workspace
-Available during core overlap hours with NYC (some flexibility required for US Eastern Time)
-Experience with online ordering platforms, travel booking sites, and vendor coordination
-Proficient with Google Workspace, Slack, and comfortable learning new tools
-Strong organizational skills and attention to detail
-Proactive communicator who doesn't wait to be asked
-Ability to work independently with minimal supervision
Preferred Qualifications
-Previous experience as a virtual assistant, office manager, or executive assistant
-Familiarity with US-based vendors and platforms (Amazon, Uber Eats, Instacart, Expensify, etc.)
-Experience supporting teams across multiple time zones
-Knowledge of NYC restaurants, venues, and services is a plus
