Title: Remote Neuropathy Lead Follow-Up & Patient Coordinator (Evenings/Weekends, US Hours)
About the Role
Nexus Chiropractic (Cary, NC) is looking for a detail-oriented, people-focused Virtual Assistant to own our neuropathy lead follow-up outside office hours. You’ll be the first human contact for people responding to our Meta ads, turning cold form fills into scheduled evaluations, and reactivating old leads. When lead flow is light, you’ll help clean up our CRM and support simple content tasks.
This is NOT a spammy cold-calling role. All leads have requested information and are expecting a response.
Schedule (US Eastern time)
Monday–Thursday: 6:00 pm – 6:00 am (overnight coverage)
Thursday 6:00 pm – Monday 6:00 am (weekend coverage)
***THIS IS 132 hours total per week, so we are looking for 4 VAs to complete coverage for the week***
You don’t need to be glued to the screen the entire time, but you must be able to respond quickly when new leads come in during these windows.
Core Responsibilities
Speed-to-lead follow-up on all new Meta ad neuropathy leads via text, phone, and
Call/text new leads within minutes, confirm basic info, answer non-clinical questions, and book them into our neuropathy consult slots.
Manage two-way texting inside GHL: reply to questions, send reminders, and keep conversations moving toward a booked appointment.
Re-activate older leads: call/text people who inquired in the past but never scheduled or didn’t show and offer them new appointment options.
Track every touchpoint: log outcomes, next steps, and notes in GHL so the in-office team has full context.
During slower periods:
Organize and tag lead lists inside GHL
Help with basic content tasks (e.g., light editing of neuropathy-related posts, formatting, uploading into GHL or social schedulers).
Escalate clinical or complex questions to the clinic team using our protocols.
Success Looks Like
Fast first contact on new leads (goal: under 3 minutes while you’re on shift).
High contact rate on new leads (you actually reach and speak/text with them, not just “attempted”).
Strong booking rate from contacted leads into neuropathy evaluations.
Growing show rate for appointments due to consistent reminders and confirmation texts.
Consistent reactivation of older leads into fresh appointments.
Requirements
Proven experience in:
Appointment setting, patient coordination, or sales/CS roles with outbound calls
Working US hours, ideally evenings/weekends
Excellent spoken and written English; clear, warm, professional communication style.
Comfortable using CRMs (GoHighLevel experience is a plus) and handling multi-channel communication (SMS, phone,
Reliable high-speed internet, quiet environment, and your own computer/headset.
Comfortable following scripts and checklists, tracking metrics, and improving based on feedback.
Nice to Have
Experience with healthcare, chiropractic, or wellness clinics.
Familiarity with Meta ads leads and basic content creation/editing.

Remote contractor role
Competitive hourly rate, based on experience and skills
Long-term, stable work if performance is strong (we’d rather grow with one A-player than keep rehiring).
