We are a thriving acupuncture practice with clinics in California, with a culture that's positive, compassionate, and committed to patient satisfaction. Our founders built this business from the ground up and have worked every position in the company themselves. We're hiring a fully remote Medical Practice Manager, based in the Philippines, to lead our reception team and run our day-to-day practice operations, while also overseeing our insurance biller and keeping billing, reception, and patient coordination running smoothly.
Position Overview
This is first and foremost a leadership role. You'll manage and train our remote reception staff, run team meetings, build schedules, and make sure our front desk, biller, and providers are all communicating and working from the same page. You'll also oversee our insurance biller and keep every patient's insurance, billing, and scheduling on track. You'll be the connective link across the whole practice, anticipating issues and making sure nothing falls through the cracks.
Schedule
20–30 hours per week.
Required availability that overlaps with our Pacific Time (California) business hours, so you can coordinate in real time with reception, the insurance biller, and patients.
Includes a remote reception shift every Saturday (8-hour day), covering phone lines, scheduling, and patient support.
Roles and Responsibilities
Manage day-to-day practice operations and oversee all office and administrative responsibilities to ensure a smooth flow.
Lead our reception team: effectively train new and existing employees with ongoing coaching and management, drive team engagement, and lead team meetings.
Manage reception schedules and time off, always making sure the front desk is covered.
Act as the liaison between the biller, reception, and patients, making sure every part of the practice is communicating and nothing falls through the cracks.
Assist with business planning and the improvement of administrative processes; design, develop, and integrate new office infrastructure that supports our standard of care and patient satisfaction.
Oversee insurance billing: work with our biller on claims, payments, denials, and workers' comp, and monitor aging reports and collections.
Run benefit checks, evaluate coverage, and call potential new patients about their insurance benefits to get them scheduled.
Manage new patient referrals and authorizations (Kaiser, physicians, workers' comp), keeping visit counts and renewals current.
Cover a remote Saturday reception shift: phones, scheduling, and patient support.
Support resolution of non-clinical patient concerns.
Handle day-to-day communication
Qualifications and Requirements
5+ years managing a medical, dental, chiropractic, or similar healthcare practice, or a comparable office/team, with hands-on experience training, scheduling, and leading staff.
Solid working knowledge of U.S. health insurance: benefit verification, copays, deductibles, claims, and denials, and comfort overseeing or coordinating closely with a billing team.
Excellent spoken and written English; comfortable making outbound calls to U.S.-based patients.
Proven ability to lead, train, and motivate a remote team, with strong organizational skills and experience working independently.
Reliable high-speed internet, a quiet home office, and a backup power/internet plan for consistent availability.
Comfortable with an EHR (Charm a plus), Google Workspace, Slack, and remote scheduling tools.
Based in the Philippines.
Application
Interested candidates should submit a resume and a brief cover letter describing a time they managed, trained, or led a team as a Practice Manager, Office Manager, or in a similar leadership role, along with their experience with U.S. medical insurance and billing coordination.
