JOB OVERVIEW

Bayside Law is a growing estate planning and elder law firm based in Fairhope, Alabama. Our practice focuses on helping families protect their assets, plan for the future, and navigate probate and trust administration with clarity and confidence. We value professionalism, organization, and exceptional client service.

We are seeking a reliable, detail-oriented Legal Virtual Assistant to support daily administrative tasks, document preparation, and client communication. The ideal candidate is highly organized, communicates clearly in English, and is comfortable working remotely with a U.S.-based law firm.
This role will play an important part in ensuring our clients receive a professional, responsive, and supportive experience when interacting with our firm.

Key Responsibilities
Administrative Support
• Manage email inbox and assist with client communications
• Schedule consultations and meetings using Calendly
• Update and maintain client records in the firm’s CRM system (Clio) as well as Dropbox
• Organize and maintain digital client files
Client Support
• Answer client inquiries and assist with intake communications
• Send intake forms and follow up with prospective clients
• Confirm appointments and send reminders to clients
• Provide friendly, professional, and responsive communication with clients
Legal Support
• Draft estate planning documents using firm templates and document systems
• Format and proofread documents for accuracy and completeness
• Assist with organizing client files and document packets
Marketing & Communication Support
• Create graphics and visual content using Canva
• Format and distribute newsletters using platforms such as Flodesk or Mailchimp
• Assist with scheduling social media posts
• Maintain contact lists and mailing lists
General Support
• Conduct online research as needed (no legal research required)
• Assist with various administrative projects as assigned
• Utilize ChatGPT to assist with drafting, editing, and administrative tasks when appropriate

Qualifications
• Excellent written and spoken English
• Excellent customer service skills with the ability to interact warmly and professionally with clients
• Friendly, positive, and enthusiastic communication style
• Strong organizational and time management skills
• High attention to detail
• Ability to work independently and follow instructions
• Reliable internet connection and remote work setup

Required Technical Skills
• Skilled using Canva
• Experience using newsletter/email marketing platforms such as Flodesk or Mailchimp
• Comfortable using ChatGPT (version 5.0 or equivalent AI tools) to assist with drafting and administrative tasks
• Familiarity with Google Workspace, Microsoft Office, Calendly, Clio, Zoom and Dropbox
Preferred Experience
• Experience working with U.S.-based law firms
• Experience supporting estate planning or probate law practices strongly preferred
• Experience drafting documents using templates or legal document systems
